POSITION SUMMARY:
The Executive Coordinator will be responsible for managing a wide range of administrative and executive related tasks and projects. The Executive Coordinator will interact with all levels of CMURC staff and CMURC affiliates in the external community, delivering a high level of professionalism and confidentiality in promoting and achieving the company strategies and goals. Strong decision making, communication and organizational skills are important in this position.
POSITION REQUIRMENTS:
Education
Bachelor’s Degree in Business Administration or equivalent 3 years qualifying experience
SPECIFIC DUTIES:
- Assists Executive team with BOD tasks and coordinates weekly accounting and general ledger functions with external accounting resources, ensuring separation of duties and internal controls
- Coordinates all resources, technology, equipment, and other shared office services and conducts membership orientations, prepare documents, and keys
- Be responsible for calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
- Assist President with preparation of reports and presentation materials
- Prepare, review and summarize miscellaneous reports and documents
- Work closely with the President to coordinate and launch hard copy or email campaigns to consultants, clients and potential clients
- Responsible for troubleshooting and problem-solving facility challenges on a daily basis; including opening and closing of the building, mail and package delivery, coffee station, cleaning, trash removal, and maintaining all meeting spaces.
- Assist in development of client retention and recruitment efforts for space and program memberships.
- Prompt and efficient response to all facility related issues, including technology, printer and copier equipment, shared office services, and building projects. Deliver timely results of scheduled tasks and coordinate with various team members.
- Support internal and external marketing efforts including, but not limited to; social media, graphic design, digital marketing, website development, outreach and community events.
- Responsible for on-site facility support as the primary point of contact for coordination of all technology, equipment, and other shared office services. Prompt and efficient response to all facility related issues, including technology, printer and copier equipment, shared office services, and building projects.
- Handle flex space opportunities, prepare orientation communications, invoices, and facility access.
- Support clients with member portal activation, profile set up, meeting room reservations, and any additional assigned by supervisors. Acts as liaison between clients and supervisor as it relates to business activities and portfolio of clients utilizing program learning management system.
- Schedule maintenance and work orders, respond to urgent maintenance calls and participate in the community handbook and facility plans.
- Assist in the coordination, implementation, and execution of team and individual goals ensuring consistency with brand and priorities.

- Must be efficient at utilizing computer-based tools to accomplish tasks.
