Position Overview:
The Executive Assistant to the President is a highly responsible and confidential position, serving as the primary administrative partner to the President. This role requires exceptional judgment, discretion, and professionalism in managing a wide range of sensitive and complex matters. The Executive Assistant to the President provides comprehensive executive support and management, ensuring the president’s office operates efficiently and seamlessly in alignment with the university’s mission and values.

Responsibilities:
Executive Office Leadership, Administration, and Management
- Manage and oversee all administrative functions and the day-to-day operations of the Office of the President.
- Manage the President’s calendar, including scheduling meetings and appointments with a high degree of accuracy and discretion. Independently prioritize and schedule with minimal oversight, using sound judgment in managing competing demands and sensitive information.
- Screen and prioritize incoming communications, responsible for the managing timely and appropriate responses.
- Maintain confidential records and files, handling information with the utmost discretion.
- Monitor and follow up on action items and deadlines to ensure progress and completion.
Meeting, Event, and Travel Management
- Manage all travel for the President, including logistics and preparation, ensuring compliance with university, University System of Maryland (USM), and State of Maryland policies and guidelines.
- Prepare, review, and manage sensitive correspondence, reports, presentations, and other documents for the President.
- Manage and compile all meeting preparation materials, including agendas, background information, briefing documents, and supporting resources, ensuring the President is fully briefed and prepared for all engagements.
- Attend meetings with the President as needed, and take accurate, confidential notes or minutes to ensure effective follow-up and recordkeeping.
- Plan, organize and manage special projects, events, and initiatives as directed by the President.
Executive Liaison and Communication
- Serve as a point of contact for internal and external stakeholders, acting as a liaison on behalf of the President while maintaining confidentiality at all times.
- Manage all email, phone, and in-person communications to the Office of the President, exercising discernment to identify the nature and urgency of each issue, addressing inquiries with professionalism and diplomacy, and directing matters to the appropriate office or resource as needed.
- Oversee effective communication and collaboration between the President’s office and other university departments and external partners.
Supervision and Office Management
- Supervise student workers supporting the President’s office.
- In consultation with the chief of staff, provide oversight and strategic management of state and foundation funds for the Office of the President, ensuring alignment with university, USM, and state fiscal policies.
- Other duties as assigned to support the President and the mission of UMBC.
Required Minimum Qualifications:
Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
- 6 years of executive level support experience preferably in higher education or a similar complex organization.
- Strong written and verbal communication abilities.
- Proven ability to exercise sound judgment, discretion, and confidentiality in all matters.
- Exceptional organizational, time management, and problem-solving skills.
- Proficiency with office productivity software and technology platforms.
- Attention to detail and accuracy.
- Ability to work independently, prioritize tasks, and adapt to changing priorities in a fast-paced environment.
- Demonstrated professionalism, tact, and diplomacy in all interactions.
- Unwavering commitment to confidentiality and ethical standards.
- Professional demeanor and positive attitude.
- High level of integrity and trustworthiness.
Position may require evening and weekend hours.
Preferred Qualifications:
Experience supporting an executive in higher Ed.

Salary:
Salary: $95,000 - $116,000 depending on qualifications and experience.
The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.
The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
