Overview

This role is the connective tissue of the operation. The Executive Office Manager and Operations Assistant ensures that people, spaces, schedules, and vendors are coordinated and that nothing falls through the cracks.

This person supports leadership directly while also overseeing day-to-day office and facilities operations, including managing the Facilities role and external vendors.

Core Responsibilities

  • Act as the primary coordinator for office operations and facilities
  • Oversee cleaners, vendors, maintenance, and service providers
  • Support executive scheduling, bookings, and logistics
  • Plan and coordinate events and meetings
  • Ensure offices and buildings are always in excellent shape
  • Anticipate needs and proactively solve operational issues
  • Support travel booking, airport logistics, and visitor coordination
  • Create simple systems and checklists to ensure consistency
  • Provide light executive assistant support as needed

Ideal Background

  • Experience as an office manager, executive assistant, operations coordinator, or similar role
  • Strong organizational and communication skills
  • Comfortable managing people and vendors
  • High attention to detail with a proactive mindset
  • Calm under pressure and good judgment in ambiguous situations

Pay: $49,810.09 - $75,000.00 per year
