Executive Operations Assistant

Overview:

At New Look Development, we are seeking a charismatic, driven, and highly organized individual to help launch the company into its next phase of growth. As the company continues to expand, this role is critical in maintaining quality, efficiency, and day-to-day operational flow. You will work directly alongside ownership, playing a key role in communication, coordination, and execution across multiple projects.

A typical day includes managing emails, coordinating site visits, documenting conversations with subcontractors and vendors, and creating clear action plans to ensure tasks are completed efficiently. You will also support the company’s public presence through social media and assist in maintaining a professional, organized, and well-run operation. This is a hands-on role with strong growth potential for someone who is proactive, detail-oriented, and brings energy and professionalism to everything they do.

Responsibilities:

  • Manage and organize daily email communication (respond, prioritize, and filter)
  • Coordinate and schedule site walks, inspections, and appointments
  • Attend job site visits, take detailed notes, and provide post-walk summaries
  • Create and track execution lists to ensure tasks are completed on schedule
  • Communicate with subcontractors and vendors regarding updates and next steps
  • Schedule and manage construction draw requests
  • Maintain accurate documentation (certificates of insurance, lien waivers, etc.)
  • Assist with QuickBooks entries and basic financial tracking
  • Organize and maintain Excel spreadsheets and project data
  • Update and coordinate website content and social media presence
  • Capture photos/videos and assist with company branding and presentation
  • Help maintain an organized, clean, and efficient workspace
  • Support scheduling, document requests, and overall operational logistics
  • Strong organizational and communication skills
  • Proficient in Excel and general computer systems
  • Familiar with QuickBooks (or willing to learn quickly)
  • Comfortable in a fast-paced, hands-on environment
  • Basic understanding of construction terminology is a plus
  • Self-motivated, detail-oriented, and able to take initiative

Pay: $25.00 - $30.00 per hour
