Executive Operations Coordinator

Monday–Friday | 8:00 AM – 5:00 PM
$36–$41/hour DOE + Benefits

We are a growing residential restoration and reconstruction company serving homeowners throughout Orange County after water, fire, and property damage losses.

Our company is growing quickly, and we are building a stronger leadership and operations team to support that growth. We are looking for someone who wants to become an important part of a company where their work genuinely matters day-to-day.

This is not a low-level admin role where you simply answer phones and schedule meetings. This is a position for someone who likes ownership, problem-solving, organization, leadership support, and helping a fast-moving company operate more effectively.

We are looking for an experienced Executive Assistant to directly support ownership and senior leadership.

The right candidate will become deeply involved in helping the business stay organized, efficient, and operating at a high level. You will have visibility into operations, leadership decision-making, project coordination, office workflow, and company growth initiatives.

You will work closely with ownership every day and become a key person the leadership team relies on.

Responsibilities

  • Manage calendars, schedules, meetings, and leadership priorities

  • Coordinate communication internally and externally on behalf of executives

  • Help keep projects, deadlines, and operational priorities organized

  • Assist office staff with workflow coordination, communication, and daily organization

  • Prepare reports, meeting notes, documents, and executive correspondence

  • Organize and maintain important company records and executive files

  • Coordinate with customers, subcontractors, vendors, lenders, and internal departments

  • Assist ownership with operational projects and business initiatives

  • Help identify bottlenecks, communication gaps, and organizational issues before they become larger problems

  • Create and improve administrative systems, procedures, and workflows

  • Help train and support future administrative staff as the company grows

  • Contribute to building a strong, organized, and professional office culture

  • Maintain professionalism and confidentiality in all matters


This position has strong long-term growth potential for the right person.

As you learn our industry and operations, this role could naturally grow into helping oversee and develop the administrative team, improve internal systems, assist with onboarding and training, and play a larger role in overall office operations.

What We’re Looking For

  • 3+ years supporting executives, owners, CEOs, COOs, or senior management

  • Strong organizational and multitasking ability

  • Excellent communication and follow-through

  • Experience in Restoration/ Construction Industry but not required

  • Ability to operate independently without constant supervision

  • High attention to detail and sense of urgency

  • Strong problem-solving skills

  • Professional, composed, and dependable

  • Advanced computer proficiency:

    • Microsoft Office

    • Excel

    • Outlook

    • Google Workspace

    • PDF/document management systems
