Job Description:

The Executive Operations Partner is responsible for maximizing executive focus and execution by owning communication triage, task prioritization, operational follow‑through, and cross‑functional coordination across Sales, Marketing, Projects, and Client Experience. This role acts as a trusted execution partner to executive leadership, ensuring priorities are translated into action and that initiatives move forward without friction, delay, or loss of accountability.


The Executive Operations Partner serves as an operational extension of executive leadership by managing workflows, maintaining operational cadence, and driving follow‑through across multiple functions while protecting executive time for the highest‑value work.

Basic Functions:

  • Own executive inbox and Microsoft Teams triage to protect focus and ensure critical items are prioritized, delegated, and resolved appropriately.
  • Prioritize, delegate, and follow up on executive tasks while resolving schedule, workload, and priority conflicts.
  • Act as an executive proxy for defined internal and external communications using approved voice, tools, and systems (e.g. Microsoft Copilot).
  • Maintain a daily operating cadence and manage urgent‑issue interruption protocols to minimize unnecessary disruptions.
  • Drive operational follow‑through on Sales and Marketing meetings action items and marketing vendor execution.
  • Prepare, review, and manage sales quotes in accordance with documented SOPs across connected systems, ensuring accuracy and completeness.
  • Set up and coordinate project plans within PSA, including meetings, notes, tickets, timelines, and follow‑ups.
  • Own sales and marketing board hygiene by ensuring inquiries are addressed, tickets progress to resolution, and backlogs are actively managed.
  • Monitor neutral and negative CSAT; coordinate investigation, response, documentation, and trend tracking.
  • Coordinate meetings, agendas, notes, and follow‑ups across Sales, Marketing, Projects, and Client Experience to ensure alignment and accountability.
  • Own low‑urgency, high‑impact administrative and personal operational tasks to enforce 80/20 focus discipline for executive leadership.
  • Drive issue investigation, resolution, and escalation as required to prevent stalled initiatives or dropped commitments.

Knowledge, Skills, and/or Abilities Required:

  • Ability to prioritize competing demands and operate effectively in a fast‑paced, interruption‑driven environment.
  • Strong organizational, analytical, and follow‑through skills with high attention to detail and accuracy.
  • Ability to act with sound judgment when representing executive leadership and handling sensitive information.
  • Strong written and verbal communication skills with the ability to communicate clearly, concisely, and professionally.
  • Ability to influence and drive accountability across teams without direct authority.
  • Working knowledge of sales, marketing, project management, and client experience workflows.
  • Proficiency with collaboration, ticketing, and Line of Business applications (PSA, CRM, etc).
  • Ability to document processes, procedures, and operational workflows clearly and consistently.
  • Self‑motivated with a strong sense of ownership, accountability, and execution discipline.
  • Ability to adapt quickly to changing priorities while maintaining accuracy and composure.

  • Demonstrated experience supporting executive leadership in an operational or execution‑focused capacity.
  • Strong critical‑thinking and problem‑solving skills, particularly in ambiguous or incomplete information environments.
  • Ability to manage multiple workflows simultaneously without loss of quality or follow‑through.
  • Strong interpersonal skills, including professional communication, active listening, and discretion.
  • Understanding of operational cadence, task management, and cross‑functional coordination.
  • Comfort enforcing standards, hygiene, and accountability across teams.
  • Ability to enter, track, and manage work accurately across systems, tickets, and boards.
  • Commitment to continuous improvement and operational excellence.

Educational/Vocational/Previous Experience Recommendations:

  • Attained any combination of the following:
  • BA/BS in business administration, operations, communications, or a related field preferred.
  • 3–5 years of experience in an executive operations, chief of staff, senior executive assistant, operations manager, or similar execution‑focused role.
  • Experience working in a professional services, MSP, technology, or fast‑growth environment preferred.
