About the Job

We are seeking a highly organized, service-oriented, and proactive professional to support our CEO and COO in both executive and select personal capacities. This role is ideal for someone who is nurturing, detail-driven, and energized by being deeply relied upon. The right candidate takes pride in anticipating needs, creating order from complexity, and ensuring leaders can focus on the highest-impact priorities.

This is a high-trust, high-responsibility role requiring sound judgment, discretion, initiative, and strong project management capability.

This person must be creative and enjoy working within a small, entrepreneurial environment that is mission and results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, possess strong written and verbal communication skills, demonstrate exceptional administrative and organizational skills, and have the ability to maintain and enforce a realistic balance among multiple priorities.

The successful candidate must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Daily job duties include:

  • Managing complex calendars for the CEO and COO, prioritizing time based on evolving business needs.
  • Direct day-to-day activities to ensure executives remain focused on key initiatives.
  • Serve as a gatekeeper and liaison between executives, employees, clients, and third parties.
  • Manage executive email inboxes; draft and send communications on behalf of executives when appropriate.
  • Attend meetings, take detailed notes, prepare minutes, and develop clear action plans.
  • Track deliverables and ensure follow-through by involving the right stakeholders at the right time.
  • Proactively gather necessary information to support executive decision-making.
  • Assist in prioritizing projects and reallocating focus as company needs evolve.
  • Lead and coordinate projects from initiation to completion by developing clear timelines, assigning responsibilities, driving accountability through proactive stakeholder follow-up, applying lessons learned to improve execution, and exercising sound judgment to balance urgency, priorities, and long-term strategy.
  • Provide high-level personal assistant support by managing errands and personal tasks, coordinating meals and catering, liaising with financial advisors, healthcare providers, and other key contacts, scheduling household appointments and services, and maintaining the utmost confidentiality and discretion at all times.
  • Oversee the executive suite and office environment by maintaining a professional, welcoming space; keeping executive offices organized and functional; ensuring kitchen and supply areas are fully stocked; performing light upkeep of executive areas; and proactively anticipating facility needs before they arise.

Pay: $24.00 - $26.00 per hour
