Job Summary
We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to senior executives. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and handling confidential information with professionalism and discretion. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills to facilitate seamless executive functioning and enhance overall productivity.
Duties
- Manage and maintain executives’ calendars using tools such as Google Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently.
- Handle all aspects of office management including filing, data entry, bookkeeping with QuickBooks, and overseeing clerical tasks to keep the office running smoothly.
- Coordinate projects by organizing timelines, tracking deliverables, and ensuring deadlines are met through effective project coordination.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and managing correspondence with professionalism.
- Assist with event planning for corporate functions, meetings, or special occasions to ensure successful execution from inception to completion.
- Operate multi-line phone systems with excellent phone etiquette while managing incoming calls and directing inquiries appropriately.
- Support personal needs of executives by handling confidential tasks, managing personal appointments, and providing exceptional customer service.
Experience
- Proven experience as a Personal Assistant or Executive Assistant supporting senior management in a fast-paced environment.
- Demonstrated office management skills including filing systems, data entry, clerical support, and front desk responsibilities.
- Strong background in administrative tasks such as calendar management, transcription, proofreading, and document preparation.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs), and familiarity with Office experience tools like DocuSign for electronic signatures.
- Experience using QuickBooks for bookkeeping and basic financial record keeping is highly desirable.
- Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail.
