Executive Personal Assistant

Job Summary:
Are you a dynamic professional with a passion for building relationships and supporting executives? Quality Vision Properties LLC & Quality Services LLC are seeking an Executive Business Development Specialist to provide comprehensive support to our executive team while driving business growth. This unique role combines executive assistance, personal assistance, and business development, allowing you to thrive in a fast-paced environment while contributing to our mission of delivering exceptional services.

Key Responsibilities:

1. Executive Support:
- Manage and organize the executive's schedule, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations as required.
- Act as a liaison between executive and internal/external stakeholders in industries including property management, facilities maintenance, and automotive, ensuring effective communication.
- Handle confidential information with discretion and professionalism.

2. Personal Assistance:
- Coordinate personal appointments, travel, and logistics for the executive.
- Assist with personal errands and tasks, including household management when necessary.
- Manage personal finances and budget tracking as required.
- Maintain a system for managing personal and professional commitments.

3. Business Development:
- Identify and pursue new business opportunities in property management, facilities maintenance, and the automotive industry.
- Build and nurture relationships with potential and existing customers in these sectors, acting as their primary point of contact.
- Document all sales activities in the CRM, tracking progress from lead generation to work order completion.
- Engage with 12-20 customers daily through prospecting calls, site visits, and networking events, including those in the automotive field.
- Create and present proposals that highlight how our services can benefit clients' businesses.

4. Team Building and Collaboration:
- Assist in running and managing day-to-day operations across multiple business units, ensuring efficient workflows and processes.

- Assist in recruiting, training, and onboarding new team members to ensure alignment with company values and goals.

- Foster a collaborative environment by encouraging communication and teamwork among different departments.
- Develop and implement strategies for team development, performance management, and employee engagement.

5. Communication and Coordination:
- Organize and prioritize incoming requests and inquiries for the executive.
- Assist in the preparation of meetings, including agenda creation and note-taking.
- Facilitate effective communication between the executive and other team members.

6. Project Management:
- Support special projects and initiatives as assigned by the executive.
- Track project deadlines and deliverables, ensuring timely completion.

Qualifications
- Proven experience in executive assistance, personal assistance, business development, or a similar role.
- Exceptional organizational skills and attention to detail.
- Strong communication and interpersonal skills with a passion for building relationships.
- Demonstrated experience in team building and collaboration.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Ability to work independently, manage multiple tasks, and thrive in an accountable environment.
- A proactive approach to problem-solving and decision-making.

Education:

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
