Executive Operations & Personal Assistant to Founder (Travel Required: Must have a valid passport)

Location: Dallas, TX

Compensation: $60,000 Salary + Performance Bonus

I am a business owner seeking a highly organized, proactive Executive Operations & Personal Assistant to support recruiting, scheduling, business operations, vendor management, travel coordination, research, and administrative responsibilities.

This is a high-trust position for someone who can think independently, anticipate needs, solve problems, and represent me professionally.

I am not looking for someone who simply completes assigned tasks. I am looking for someone who takes ownership, thinks ahead, handles challenges confidently, and continuously improves.

This role is ideal for someone who wants to grow into a Senior Executive Assistant, Operations Manager, or Chief of Staff position in the future.

Ideal Background

While executive assistant experience is valuable, I strongly prefer candidates with experience in:

Key ResponsibilitiesExecutive Support

  • Manage calendars and scheduling
  • Coordinate meetings and appointments
  • Arrange travel and accommodations
  • Prepare meeting agendas and summaries
  • Handle confidential communications
  • Organize personal and business priorities

Recruiting & Hiring

  • Post job advertisements
  • Screen candidates
  • Schedule interviews
  • Coordinate interview logistics
  • Follow up with applicants
  • Maintain recruiting pipelines
  • Ensure a professional candidate experience

Operations Coordination

  • Obtain and compare vendor quotes
  • Coordinate contractors and service providers
  • Track project deadlines and deliverables
  • Follow up on outstanding tasks
  • Escalate issues before they become urgent
  • Improve systems and processes over time

Research & Problem Solving

  • Conduct business and personal research
  • Identify potential risks and solutions
  • Present recommendations and action plans
  • Gather information needed for decision-making

Travel Requirements

This position requires regular business travel.

Travel schedules and destinations vary based on business needs and may include domestic and international travel.

The successful candidate must be comfortable:

  • Traveling on short notice when necessary
  • Being away from home for up to one week at a time
  • Accompanying the business owner on trips when requested
  • Managing schedules, logistics, meetings, and communications while traveling
  • Remaining organized and professional in fast-changing environments

The ideal candidate enjoys travel, is highly adaptable, and can maintain a high level of performance while working from different locations.

Travel Compensation
