Executive Personal Assistant (Real Estate & Investments)
We are seeking a highly organized, proactive, and detail-oriented Executive Personal Assistant to support a busy real estate professional, investor, and business owner. This role combines executive assistance, personal assistance, property management coordination, and light bookkeeping responsibilities.
The ideal candidate is dependable, tech-savvy, comfortable handling confidential information, and capable of managing multiple priorities with minimal supervision.
Responsibilities:
Executive & Administrative Support• Manage calendars, appointments, meetings, and travel arrangements• Coordinate conferences, networking events, and business meetings• Monitor emails and assist with correspondence• Organize files, records, and important documents• Track deadlines and follow up on outstanding tasks
Real Estate & Investment Support• Coordinate with real estate agents, lenders, escrow officers, contractors, photographers, insurance agents, and vendors• Assist with listing preparation and marketing coordination• Research vendors, service providers, insurance options, and property-related services• Help monitor rental property operations and maintenance needs• Track utility accounts and recurring property expenses
Bookkeeping & Financial Administration• Assist with QuickBooks data entry and expense tracking• Organize records for accountants and tax professionals• Monitor bill payments and recurring expenses• Maintain spreadsheets and financial reports
Personal Assistant Duties• Pick up mail and packages• Run occasional errands and grocery shopping• Coordinate personal appointments and household services• Assist with special projects as needed
Qualifications• Previous experience as an Executive Assistant, Personal Assistant, Operations Coordinator, or Real Estate Assistant preferred• Experience with QuickBooks strongly preferred• Strong organizational and communication skills• Proficient in Microsoft Office, Google Workspace, and common business software• Ability to maintain confidentiality and professionalism• Reliable transportation and valid driver’s license• Real estate, property management, bookkeeping, or accounting experience is a plus
