Job Summary
We are seeking a highly organized and proactive Executive / Personal Assistant to support the founders of a renowned design studio. This dynamic role requires a motivated individual who thrives in a fast-paced environment, excels at multitasking, and demonstrates exceptional attention to detail. As the primary point of contact for the founders, you will manage their schedules, coordinate projects, handle administrative tasks, and ensure seamless daily operations. Your energetic approach and professional demeanor will contribute significantly to the efficiency and success of the studio’s creative endeavors.
Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support including email correspondence, document proofreading, transcription, and data entry.
- Organize and plan events, meetings, and travel arrangements to ensure smooth execution of studio activities.
- Oversee office management duties such as filing, front desk responsibilities, and maintaining office supplies.
- Handle bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and basic bookkeeping.
- Coordinate projects across various teams, ensuring deadlines are met and communication flows effectively.
- Maintain professional phone etiquette when handling multi-line phone systems and client inquiries.
Requirements
- Proven experience as an executive or personal assistant supporting high-level professionals or entrepreneurs.
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and office management software like DocuSign.
- Demonstrated experience in event planning, project coordination, bookkeeping, and office management.
- Exceptional typing speed with accuracy for transcription and data entry tasks.
- Outstanding communication skills with a professional phone manner and customer service orientation.
- Ability to handle confidential information discreetly while maintaining a positive attitude under pressure.
