Position Overview
We are seeking a high-level Executive Personal Assistant to support a fast-paced healthcare executive in the wellness and aesthetics industry. This role requires someone who is proactive, highly organized, tech-savvy, and willing to travel on short notice.
This is not a routine assistant role. You will be expected to anticipate needs, solve problems independently, and operate with discretion and professionalism in both clinical and business environments.
Key ResponsibilitiesExecutive & Personal Support
- Manage complex calendars, scheduling, and daily priorities
- Coordinate meetings, appointments, and travel logistics
- Handle personal and professional tasks seamlessly
- Act as a gatekeeper and point of coordination for communications
Travel & On-the-Go Support
- Travel as needed (sometimes on short notice)
- Coordinate flights, hotels, transportation, and itineraries
- Provide on-site support during events, meetings, and business travel
Operations & Project Support
- Build and manage PowerPoint presentations for meetings, proposals, and events
- Create and maintain Excel spreadsheets (tracking, reporting, budgeting, etc.)
- Assist with business projects, clinic initiatives, and operational workflows
- Help organize and execute events, launches, and client experiences
Wellness / Aesthetics Support
- Assist with coordination of services, client scheduling, and clinic flow
- Maintain awareness of services, products, and offerings within a wellness/aesthetic setting
- Support a luxury, concierge-level client experience when needed
Required Qualifications
- Proven experience as an Executive Assistant or Personal Assistant in a fast-paced environment
- Willingness and ability to travel frequently and on short notice (non-negotiable)
- Strong proficiency in:
- Microsoft PowerPoint
- Microsoft Excel
- Google Workspace
- Highly organized with exceptional attention to detail
- Strong communication and problem-solving skills
- Ability to handle confidential information with discretion
Preferred Qualifications
- Experience in wellness, medical, or aesthetics industry
- Experience supporting a high-level executive or business owner
- Familiarity with scheduling systems, CRM/EMR platforms, or operational tools
- Event planning or project coordination experience
