Executive & Personal Assistant (Part-Time / Hybrid Remote)

About the Role

We are seeking a diligent, highly organized, and outgoing Hybrid Executive & Personal Assistant to support the owner of two bustling food and beverage businesses (Honey Day Cafe and Lil Honey Coffeeshop), as well as manage personal administrative tasks.

This position begins as a remote, part-time role at 10 hours per week. However, we are looking for a local candidate who wants to grow with the business for the long term. As you master our systems, this role has the explicit potential to increase in hours and transition into a hands-on, in-person assistant position. This will include regular one-on-one weekly meetings with the owner to align on schedules, store needs, and lifestyle logistics.

Key Responsibilities1. Calendar, Appointments & Core Alignment

  • Manage, organize, and streamline the owner’s daily professional and personal calendars.
  • Coordinate and schedule business meetings, vendor calls, site visits, and personal appointments.
  • In-Person Syncs: Meet face-to-face weekly with the owner to review the upcoming week’s schedule, troubleshoot conflicts, and delegate priorities.

2. Store Purchasing & Operations Support

  • Assist with supply chain logistics by placing routine and specialty inventory orders for both café locations.
  • Liaise with vendors to track shipments, manage invoices, handle order discrepancies, and ensure crucial bakery and coffee supplies arrive on time.
  • Act as an administrative bridge between the owner and the Store Managers/Barista Leads, following up on action items to keep the teams supported.

3. Personal Assistant & Lifestyle Logistics

  • Organize personal calendar items, family events, and milestones.
  • Manage a gifting registry/calendar: research, source, purchase, and arrange delivery for gifts for holidays, family events, and business connections.
  • Assist with occasional personal travel logistics, reservations, or lifestyle research projects.

  • Exceptional Organization: You naturally love creating systems out of chaos, tracking spreadsheets, and keeping timelines perfectly aligned.
  • Outgoing & Proactive: You are a people person with a warm, energetic communication style who isn't afraid to pick up the phone, ask questions, and build relationships with vendors and store teams.

Qualifications & Experience

  • Location requirement: Must be local to the Bergen County, NJ area for mandatory weekly in-person meetings and eventual hands-on store support.
  • Experience: 2+ years of experience as an Executive Assistant, Operations Assistant, or Personal Assistant.
  • Tech Savvy: High proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets). Comfort learning restaurant backend systems (like Toast POS/Payroll) is a major plus.
  • Commitment: Looking for a long-term position with a strong desire to scale up hours as the scope of the role expands.
