About the Role

The principal attorney and owner of a Sacramento-based plaintiff personal injury law firm — who also operates a commercial real estate holding company and active personal investments — is seeking a dedicated Executive Personal Assistant.

This is not a paralegal or front-desk role. You will serve as the principal’s right hand for the operational side of daily life: personal scheduling, travel coordination, vendors, errands, reservations, logistics, household coordination, gifts, appointments, and the constant flow of moving pieces that come with a fast-paced professional and family life.

You will also act as a bridge between the principal’s personal calendar and the firm’s litigation calendar team to ensure scheduling conflicts are prevented before they happen.

The right person is exceptionally organized, calm under pressure, highly discreet, proactive rather than reactive, and equally capable of coordinating complex luxury travel, solving a household vendor issue, handling time-sensitive errands, or organizing an important last-minute project with minimal supervision.

You will often be the person deciding which task gets handled first when multiple priorities hit at once. We are looking for someone who can assess situations confidently, solve problems independently, and communicate clearly — not someone who requires constant direction.

This is not a nanny or childcare position. While occasional family-related logistics may arise, the role is strictly administrative and operational in nature.

ResponsibilitiesCalendar & Scheduling

  • Manage the principal’s personal calendar end-to-end
  • Coordinate with the firm’s litigation calendar team to prevent scheduling conflicts
  • Schedule medical, personal, family, and household appointments
  • Anticipate scheduling issues before they arise

Communications

  • Triage personal email and incoming calls
  • Draft correspondence on the principal’s behalf
  • Communicate with vendors, service providers, organizations, and professionals until matters are fully resolved

Travel & Vacations

  • Research and present curated travel and vacation options with thoughtful recommendations
  • Book flights, hotels, transportation, dining reservations, tours, and activities
  • Build organized travel itineraries
  • Manage travel credits, loyalty programs, and reservations
  • Handle last-minute travel issues and schedule changes in real time
  • Occasional travel with the principal may be required; all travel expenses and separate accommodations will be provided

Errands & Logistics

  • Handle daytime errands including deliveries, pickups, returns, post office runs, dry cleaning, and related logistics
  • Assist with occasional after-hours or urgent errands when necessary

Food & Hospitality

  • Coordinate lunch and food orders
  • Make restaurant reservations
  • Organize office catering for meetings and events
  • Learn and manage the principal’s preferences and dietary considerations

Vendor, Household & Personal Administration

  • Coordinate vehicle service appointments
  • Manage household vendors, contractors, and service providers
  • Organize memberships, subscriptions, and renewals
  • Source thoughtful gifts for clients, staff, and family members
  • Provide light administrative support related to personal real estate and investment matters (document organization and coordination only — not financial decision-making)

Projects & Special Initiatives

  • Research major purchases and present organized options
  • Assist with personal and family event planning
  • Execute one-off projects under tight timelines
  • Solve unexpected operational issues efficiently

General Expectations

  • Anticipate needs before they are voiced
  • Exercise excellent judgment and professionalism at all times
  • Maintain absolute confidentiality regarding the principal, family members, residence, schedule, finances, and any firm matters incidentally observed
  • No social media posts, photographs, recordings, or public commentary involving the principal, family, office, residence, or work activities
  • Represent the principal and the firm professionally in all interactions

Qualifications

  • 2+ years of experience as a personal assistant, executive assistant, or comparable support role for a busy executive, attorney, physician, entrepreneur, or family principal
  • Valid California driver’s license with clean driving record (motor vehicle report will be checked)
  • Reliable personal vehicle and current auto insurance meeting minimum required coverage standards
  • Strong proficiency with Microsoft 365 (Outlook, Teams, Word, Excel) and Google Workspace
  • Comfortable learning new technology platforms, scheduling tools, travel systems, and apps
  • Excellent written and verbal communication skills
  • Strong discretion and professionalism handling confidential information
  • Must be bondable due to access to accounts, residences, and sensitive information
  • Self-starter mentality with strong problem-solving ability
  • Comfortable adapting to changing priorities and fast-moving situations
  • Professional appearance and demeanor
  • Ability to lift up to 25 lbs and comfortably drive throughout the Sacramento region as needed
  • Respectful of diverse cultural and religious backgrounds and observances

Preferred Qualifications (Not Required):

  • Prior experience supporting attorneys, executives, physicians, or high-level professionals
  • Luxury or complex travel-planning experience
  • Multilingual abilities
  • California notary commission

Schedule & Work Style

This is a fully in-person position based in Sacramento. This is not a remote or hybrid role.

Core schedule is Monday through Friday, with reasonable flexibility on start and end times. Occasional early mornings, evenings, weekend tasks, and travel-related responsiveness may be required depending on scheduling demands and active projects.

This role is best suited for someone who enjoys variety, problem-solving, fast-paced days, and being highly involved in operations rather than someone seeking a rigid 9-to-5 desk position.

Because this is an hourly non-exempt role, all hours worked are fully compensated, including overtime, approved after-hours work, and applicable travel time in accordance with California law.
