Job Summary
We are seeking a highly organized, intuitive, and proactive Part-Time Executive & Personal Assistant to support a private principal across a dynamic mix of professional and personal priorities.
This is a high-impact role offering the opportunity to work closely with a creative, fast-moving principal—managing schedules, coordinating logistics, and ensuring day-to-day operations run seamlessly.
The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced environment, bringing a calm, polished, and solutions-driven approach to everything they do.
Responsibilities
- Manage and maintain a complex, ever-evolving calendar, including scheduling meetings, appointments, and events
- Coordinate travel arrangements end-to-end, including flights, accommodations, transportation, and detailed itineraries
- Provide executive support, including drafting correspondence, preparing materials, and ensuring follow-through on key action items
- Serve as a liaison across personal and professional relationships, handling sensitive communications with discretion
- Assist with personal and household operations, including vendor coordination, scheduling, and day-to-day logistics
- Support special projects such as events, research initiatives, and operational improvements
- Conduct research and present clear, organized recommendations (vendors, travel, services, etc.)
- Assist with administrative and financial tasks, including bill pay, expense tracking, and maintaining organized records
- Track important deadlines, renewals, and ongoing priorities to ensure nothing falls through the cracks
Requirements
- 5+ years of experience as an Executive Assistant, Personal Assistant, or similar high-level support role
- Exceptional organizational and time management skills with strong attention to detail
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and emotional intelligence
- Proactive, resourceful, and able to anticipate needs and solve problems independently
- Ability to manage multiple priorities in a fast-paced, ever-changing environment
- Tech-savvy with proficiency in Google Workspace and quick to learn new systems
- Valid driver’s license and reliable transportation required
Nice to Have
- Experience supporting a high-net-worth individual or private principal
- Background in travel planning, vendor coordination, or household management
- Familiarity with basic financial tracking or tools such as QuickBooks
Role Details
- Part-time position (schedule to be determined)
- Based in San Francisco; hybrid with some in-person support required
- Flexibility to occasionally respond outside standard business hours
Compensation
- $35–$40 per hour (non-exempt, eligible for overtime in accordance with California law)
