Executive Procurement & Supplier Management

JOB SUMMARY:

The Executive – Procurement & Supplier Management is responsible for managing the end-to-end supplier lifecycle, including supplier onboarding, due diligence, contract administration, purchase order management, and supplier performance monitoring.


The role ensures contract compliance adherence, and effective supplier relationship management aligned with internal policies and supply chain best practices. The position combines operational procurement execution with performance reporting, risk identification, and supplier evaluation to enhance transparency, and service reliability.


MAIN ACCOUNTABILITIES:

Supplier Lifecycle Management

  • Manage supplier onboarding including documentation collection, due diligence, and KYC verification.
  • Conduct supplier evaluation and maintain approved supplier database.
  • Ensure supplier master data completeness with 100% accuracy.
  • Maintain structured documentation aligned with procurement policies.

Contract Management

  • Administer contract drafts, amendments, and service agreements in coordination with Sourcing & Legal.
  • Maintain centralized contract repository (hard and soft copy) as per internal guidelines.
  • Monitor contract validity, renewal timelines, and compliance with agreed terms.

Purchase Order (PO) Management

  • Issue Purchase Orders in line with approved Purchase Requisitions and internal procurement procedures.
  • Ensure alignment of Purchase Order terms i.e., prices, delivery timelines etc with contractual agreements.
  • Monitor Purchase Order status, aging, and closure by coordinating with all stakeholders.
  • Coordinate with Finance & User Department for invoice validation and payment processing.

Supplier Performance & Risk Management

  • Develop and maintain centralized database for supplier KPI/SLA scorecards.
  • Coordinate with User Departments to conduct periodic supplier performance reviews.
  • Identify and register supplier-related risks and develop mitigation plans.
  • Manage supplier disputes and performance escalations.

Governance, Compliance & Audit

  • Ensure procurement activities comply with internal policies and procedures.
  • Support internal and external audits by providing required documentation.
  • Maintain audit-ready documentation and supplier records.

Reporting & Analytics

  • Prepare internal departmental reports and supplier performance analysis dashboards.
  • Provide management insights for cost optimization and supplier rationalization.
  • Track procurement KPIs and performance indicators.


JOB REQUIREMENTS:

A. Minimum Qualifications:

  • Bachelor’s in Supply Chain Management, Business Administration, Engineering, Logistics, or related field.
  • Master’s Degree in a related field and professional certifications (CIPS, CPSM, CSCP) are an advantage.


B. Minimum Experience:

  • 0–2 years of relevant experience in Procurement or Supplier Management.
  • Experience in telecom infrastructure or asset-intensive industries preferred.


C. Functional Expertise (Knowledge, Skills & Abilities):

  • Strong understanding of procurement lifecycle and supplier governance.
  • Knowledge of supplier evaluation, compliance, and risk management.
  • Contract administration and SLA monitoring capability.
  • Strong analytical, reporting, and problem-solving skills.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Understanding of audit requirements and documentation control.
  • Strong negotiation and stakeholder management skills.
  • High level of integrity and attention to detail.
