Job Summary

One of our clients are looking for an Executive Secretary provides high-level administrative support to senior executives by managing schedules, handling communications, organizing documents, and ensuring the smooth day-to-day operation of the executive office. This role requires professionalism, confidentiality, strong organizational skills, and excellent communication abilities.


Key Responsibilities

  • Manage executives’ calendars, appointments, and meeting schedules
  • Prepare, edit, and organize correspondence, reports, and presentations
  • Handle phone calls, emails, and other communications on behalf of the executive
  • Arrange meetings, take minutes, and follow up on action items
  • Maintain confidential files and records with discretion
  • Coordinate travel arrangements and prepare itineraries
  • Liaise with internal departments and external partners
  • Assist in planning events, conferences, and official functions
  • Ensure office procedures run efficiently and professionally


Qualifications and Skills

  • Bachelor’s degree in Business Administration, Office Management, or a related field
  • Proven experience as an executive secretary, administrative assistant, or similar role
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Proficiency in office software (e.g., Microsoft Word, Excel, and email systems)
  • Ability to handle sensitive and confidential information professionally
  • Strong attention to detail and problem-solving skills
  • Professional appearance and attitude
