Responsibilities:

  • Manage submissions and deadlines: Coordinate, track, and ensure timely submission of all documents related to the interior scope (drawings, material submittals, samples, and approvals) in line with project schedules and client requirements.
  • Prepare administrative files for submissions: Prepare, organize, and maintain all required administrative and project files for interior works submissions, ensuring accuracy, completeness, proper documentation, and compliance with project and authority requirements.
  • Handle phone calls, emails, and correspondence professionally.
  • Arrange travel, bookings, and itineraries as needed.
  • Capture and track action items from meetings through to resolution.
  • Organize and maintain office files and records.
  • Prepare and organize files, presentations, and reports related to interior design projects.
  • Communicate with clients, suppliers, and internal departments on behalf of directors.
  • Coordinate logistics for meetings, events, and appointments.
  • Manage and prioritize incoming calls and emails.
  • Handle confidential matters with discretion and professionalism.

Requirements:

  • Bachelor's degree or equivalent.
  • At least 3 years of experience in a secretarial/executive support role.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to work independently and take initiative.
  • Proficient in Microsoft Office and relevant software.
