Manage submissions and deadlines: Coordinate, track, and ensure timely submission of all documents related to the interior scope (drawings, material submittals, samples, and approvals) in line with project schedules and client requirements.
Prepare administrative files for submissions: Prepare, organize, and maintain all required administrative and project files for interior works submissions, ensuring accuracy, completeness, proper documentation, and compliance with project and authority requirements.
Handle phone calls, emails, and correspondence professionally.
Arrange travel, bookings, and itineraries as needed.
Capture and track action items from meetings through to resolution.
Organize and maintain office files and records.
Prepare and organize files, presentations, and reports related to interior design projects.
Communicate with clients, suppliers, and internal departments on behalf of directors.
Coordinate logistics for meetings, events, and appointments.
Manage and prioritize incoming calls and emails.
Handle confidential matters with discretion and professionalism.
Requirements:
Bachelor's degree or equivalent.
At least 3 years of experience in a secretarial/executive support role.
Excellent written and verbal communication skills.
Strong organizational and time-management skills.
Ability to work independently and take initiative.
Proficient in Microsoft Office and relevant software.
