Job Title: Secretary (Assistant to CEO)Job Summary
The Executive Secretary to the CEO is responsible for providing high-level administrative, organizational, and confidential support to the Chief Executive Officer. The role ensures the efficient operation of the CEO’s office, coordination with internal departments and proper management of executive schedules, communications, and documentation
Key Responsibilities1. Executive Support
- Manage and maintain the CEO’s calendar, appointments, and meeting schedules.
- Organize and coordinate management meetings, and executive briefings.
- Prepare meeting agendas, minutes, and follow-up action items.
- Screen and prioritize incoming calls, emails, and correspondence for the CEO.
- Maintain confidential files, reports, contracts, and corporate records.
- Prepare reports, presentations, and briefing materials for executive meetings.
- Ensure proper document management and record keeping in the CEO’s office.
- Arrange travel schedules, visa processing, accommodation, and itineraries for the CEO.
- Monitor follow-ups on important tasks, deadlines, and executive decisions.
- Coordinate with HR, Finance, Sales, and Operations departments to ensure smooth communication with the CEO’s office.
- Assist in special projects and strategic initiatives assigned by the CEO.
- Maintain strict confidentiality of company information, executive discussions, and strategic decisions.
- Represent the CEO’s office with professionalism, discretion, and integrity.
Qualifications
- Bachelor’s Degree in Business Administration, Management, or related field.
- Minimum 3–5 years experience as Executive Secretary, Personal Assistant, or Executive Assistant to senior management.
