Job Title: Executive Secretary to Chairman (Accounts Background Preferred)
Job Summary
We are seeking a highly organized and professional Executive Secretary to provide comprehensive administrative and secretarial support to the Chairman. The ideal candidate should have a strong background in accounting and finance, excellent communication skills, and the ability to handle confidential information with discretion. The role requires effective coordination with internal departments, external stakeholders, and senior management while supporting financial and administrative activities.
Key ResponsibilitiesExecutive Secretarial Duties
- Manage the Chairman's calendar, appointments, meetings, and travel arrangements.
- Prepare and maintain correspondence, reports, presentations, and meeting minutes.
- Screen calls, emails, and visitors, ensuring efficient communication and follow-up.
- Coordinate with departments to obtain information and prepare reports for management review.
- Maintain confidential records, files, and company documents.
- Organize board meetings, management meetings, and business events.
- Follow up on action items and ensure timely completion of assignments delegated by the Chairman.
- Handle administrative and office management responsibilities as required.
Accounts and Finance Support
- Assist in preparing financial reports, budgets, and management summaries.
- Review invoices, payment requests, and supporting documentation.
- Coordinate with the Accounts Department regarding payments, receivables, and financial records.
- Maintain records of contracts, purchase orders, and financial agreements.
- Monitor expense reports and ensure compliance with company policies.
- Assist in reconciliation of accounts and preparation of financial documentation.
- Support auditors and finance teams by providing required documents and information.
- Generate periodic financial and administrative reports for the Chairman.
