About the Role
The Executive Services Manager & Board Liaison works under the leadership of the President & Chief Executive Officer. Under minimal supervision and acting on own initiative, the Executive Service Manager & Board Liaison provides substantial administrative and project management support to the President &CEO, Board of Directors, Supervisory Committee and Board Development and Nominations Committee. This position requires a highly organized, technically capable, professional, discreet, and trusted individual as you will be tasked to have sensitive, confidential and proprietary matters on a routine basis with discretion.
This position is based at our corporate office and requires fully onsite work in Ventura, CA.
What You’ll Do

Maintain President/CEO’s appointment calendar, schedules meetings/conferences, and prepare reports, presentations, and expense reports.

Provides support with special projects of a non-routine nature as directed by the President/CEO and Executive Team.
- Budgeting for Executive Services and Official’s travel, strategic planning session and conferences, etc.

Supervises the day-to-day activities of executive assistant. Set well defined goals and priorities and provide coaching and oversight performance and skill development.

Perform general office duties such as faxing, filing, making copies, distributing mail and ordering supplies.

Prepare agenda and meeting material for Senior Management and Bi-Monthly Management Meetings.

Serve as the Board and Committee(s) Liaison and provide confidential support and assistance to the Board and Committee Chairs.

Plan and host special dinners and events for the Board of Directors, Supervisory Committee, and Executive Team.

Manage Board Governance Policy relevant to the Credit Union’s bylaws, National Credit Union Administration (NCUA) and Department of Financial Protection and Innovation (DFPI) regulations.

Prepares and coordinates Strategic Planning Sessions, (i.e., secure venue and hotel accommodations, plan meals, and assist facilitator and Senior Management with preparation and distribution of meeting material, etc.).

Responsible for preparation and sending out all agenda and minutes before each Board and Committee meeting including Supervisory and Asset Liability (ALCO) Committees.
- Attending Board, Supervisory Committee and ALCO Committee meetings to take and transcribe minutes.

Assist the Board Development and Nominations Committee with communication, application/interview process and background checks on potential candidates. Conduct official’s orientation and disburse equipment and supplies.

Provides support to the Supervisory Committee by acting as a liaison between accounting/auditing firms for organizational audits.

Oversee Board Members travel. Coordinating conference registration and travel arrangements for the President/CEO, members of the Board and Supervisory Committee.
What We’re Seeking

5 years of C-Suite administrative and/or office manager experience
- One year of supervisory experience

Must be proficient in Microsoft Office, SharePoint, Teams, and Zoom
