Introduction

The Executive Support Assistant provides high‑level, trusted administrative and coordination support to the Group CHRO and N‑1 senior leaders, ensuring smooth day‑to‑day operations, effective stakeholder management, and disciplined follow‑through on priorities.

The role acts as a central coordination hub across executive, HR and communication activities, supporting leadership effectiveness while also providing hands‑on assistance across core HR operations and employee lifecycle processes.

Reporting to the Group CHRO, the role supports leadership governance, internal communications execution, change and engagement initiatives, and HR administration, enabling efficient execution of People and Culture priorities across the Group.

The role requires a high degree of discretion, organisational rigour and adaptability, operating across executive agendas, HR processes and cross‑functional coordination in a fast‑paced, multicultural environment.
High-Level Summary of the Role

Provide high‑level executive and administrative support to the Group CHRO and senior leadership.

Act as a coordination and communication hub across HR, leadership and key stakeholders.

Support execution of internal communications, engagement and change initiatives.

Provide operational HR support across the employee lifecycle.

Ensure confidentiality, accuracy and disciplined follow‑through across all activities.
Functional Responsibilities

Executive and Administrative Support
-
Provide comprehensive administrative and coordination support to the Group CHRO and N‑1 leaders.
-
Manage complex calendars, meetings, travel arrangements and expense coordination.
-
Prepare agendas, presentations, reports and meeting minutes for leadership forums.
-
Track action items, decisions, deadlines and follow‑ups arising from executive meetings.
-
Act as a key liaison between leadership and internal / external stakeholders.
-
Handle highly confidential information with discretion and professionalism.

Support ad‑hoc leadership initiatives, projects and governance requirements.
2. Communications Support & Execution
-
Support planning and execution of internal communications initiatives.
-
Coordinate leadership messages, announcements and employee updates.
-
Manage content publishing across intranet and internal communication channels.

Maintain communications calendars, templates and materials.
-
Coordinate translations and support basic tracking of engagement metrics.
3. Change Management and Engagement Support

Support coordination of HR and organisational change initiatives.
-
Schedule rollout briefings, training sessions and stakeholder updates.
-
Maintain stakeholder, champion and change‑network trackers.
-
Prepare basic change support materials (FAQs, guides, toolkits).
-
Collect feedback, adoption insights and escalate risks or issues as needed.
4. HR Operations and Employee Lifecycle Support

Support the Group HR Manager / CHRO with HR operational activities across the employee lifecycle.
-
Assist with onboarding, offboarding and employee record maintenance.
-
Extract, consolidate and analyse HR data to support reporting and learning & development activities.
-
Support employee engagement activities, internal events and HR communications.
-
Coordinate with HR Operations, Country HR and other stakeholders to ensure timely execution.
Qualifications
-
Bachelor’s degree in Business Administration, Human Resources or a related field.
-
Certification in Office Administration, Business Administration or HR (Foundation / Associate level) is an advantage (e.g. CIPD Foundation, SHRM Essentials or equivalent).

Minimum 5+ years’ experience in an executive assistant, senior administrative or HR support role.
-
Proven experience supporting senior leadership or C‑suite stakeholders.
-
Fluent in English and Spanish (written and verbal).
-
Familiarity with HR operations, employee lifecycle processes and basic UAE labour law concepts is an advantage.

Experience working in a global, matrix or multicultural organisation preferred.
