STUWE GmbH & Co has established itself as an industry leader in the manufacture of mechanical components for drive technology. We specialise in friction-locked shaft-hub connections and braking systems for a wide range of applications. We are currently seeking a highly organised and proactive Executive Support Specialist to join our team in Miami. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and thrive in a fast-paced environment. This role is crucial to ensuring the smooth and efficient operation of our executive team, providing comprehensive administrative and organisational support.

Responsibilities

  • Provide high-level administrative support to senior executives, including managing complex calendars, scheduling appointments, and coordinating meetings.
  • Arrange detailed travel itineraries, both domestic and international, including flights, accommodation, and ground transportation.
  • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
  • Act as the primary point of contact between executives and internal employees, clients, and external partners.
  • Organise and attend meetings, ensuring agendas are prepared, materials are distributed in advance, and minutes are accurately recorded and circulated.
  • Handle confidential documents and sensitive information with the utmost discretion and integrity.
  • Manage executive expense reports and assist with budget tracking for departmental projects.
  • Support the coordination of special projects and company events as required.\

 

Qualifications

  • Proven experience in an executive support, personal assistant, or similar administrative role.
  • Exceptional organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Excellent verbal and written communication skills and a professional demeanour.
  • Proficiency in the full Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong problem-solving abilities and meticulous attention to detail.
  • The ability to work independently, use initiative, and anticipate the needs of the executive team.
  • A high level of professionalism and discretion is essential for this position.
