The Executive Team Coordinator to the C-Suite is a central figure in ensuring the smooth operation of Ellin and Tucker’s leadership activities. The ideal candidate will facilitate the C-Suite's effectiveness by managing various responsibilities, from administrative tasks to strategic project support, embodying the spirit of service and excellence that defines E&T. Given the dynamic nature of the executive landscape, this role requires flexibility and consistency while maintaining the confidentiality of high-level systems and operations.
Key Responsibilities:
Executive Support and Strategic Planning Assistance:

Provide comprehensive support to the CEO, COO and CFO

Support includes managing correspondence, preparing reports, and supporting strategic planning efforts

Assist in gathering data and coordinating materials for strategic sessions and decision-making processes
Board and Committee Meeting Management:

Organize logistics for board meetings and various committee meetings, including scheduling and calendar management, content and flow of information to executives, managing RSVPs, room setup, catering, minute taking, and documentation distribution
Liaison and Communication:

Serve as a communication bridge between the CEO and internal teams, external stakeholders, and partners

Draft and disseminate communications on behalf of the CEO to maintain clear and effective channels

Review and analyze various requests and inquiries and respond as appropriate, ensuring all relevant messages are communicated to the designated senior executives promptly
Project Management:

Lead or assist with special projects as directed by the CEO and COO, ranging from organizational development initiatives to cross-functional team collaborations that support E&T’s strategic objectives

The Executive Team Coordinator will oversee the day-to-day operations of the CEO and troubleshoot daily office needs

The Executive Team Coordinator is a critical project coordinator for internal activities, including learning and development initiatives for professional staff, and assists the team in tracking project milestones

Oversee the planning and execution of critical organizational events, including staff retreats, staff appreciation events, internal and external trainings, and networking events
Administrative Duties and Document Management:

Handle daily administrative tasks, manage the CEO’s calendar, including scheduling all meetings, and maintain a rigorous system for document management, ensuring compliance with retention policies
Qualifications:
-
Bachelor’s degree or equivalent level of applicable experience

Minimum of three (3) years in an administrative position supporting C-level executives preferred

Exceptional organizational and multitasking skills, with a solid attention to detail

Excellent written and verbal communication abilities

Computer Skills: Proficient with Microsoft Office suite, including advanced knowledge/experience with Excel, Word, and PowerPoint. Advanced proficiency with ADOBE Acrobat PRO and other business software platforms

Strong time-management skills with a demonstrated capability in managing multiple concurrent projects, events, and strategic initiatives

Strong interpersonal skills, with the ability to liaise effectively with a range of stakeholders

Ability to maintain confidentiality of information related to the company and its employees
Benefits:

Annual Compensation – ($55,000-$75,000 per year)

Schedule: Monday – Friday (8:45 AM – 5:00 PM), occasional overtime when coordinating events
