Transportation Duties
- Safe Driving: Provide dependable and safe transportation for executives to meetings, appointments, and events. Ensure timely arrivals and departures.
- Vehicle Maintenance: Regularly inspect, maintain, and clean the assigned vehicle to ensure it is in excellent working condition. Schedule and oversee necessary repairs and servicing.
- Route Planning: Efficiently plan and navigate routes based on traffic, weather conditions, and executive schedules to optimize travel time.
- Record Keeping: Maintain logs of mileage, fuel consumption, and maintenance records for the vehicle.
- Emergency Preparedness: Be prepared for emergencies or changes in schedule and adapt quickly to ensure executive safety and convenience.
Administrative Duties
- Calendar Management: Maintain and manage executives schedule, confirming appointments, meetings and coordinating travel arrangements.
- Correspondence Handling: Draft, review, and manage correspondence, ensuring timely responses and follow-ups.
- Meeting Coordination: Organize meetings, including preparation of agendas, taking minutes, and following up on action items.
- Document Management: Prepare and manage important documents, reports, and presentations in both physical and digital formats.
- Marketing Support: assist in creating marketing materials, such as brochures, flyers, graphics and digital content, ensuring brand consistency and quality.
- Graphic Design Skills: utilize graphic design skills to design visually appealing presentations and documents, using software like Canva, Adobe Creative Suite, or similar tools.
- Event Support: Assist in planning and coordinating corporate and community events, meetings, and team-building activities.
- Budget Monitoring: Assist in tracking expenses related to transportation and executive functions listed.
- Technology Use: Utilize office software (e.g., Microsoft Office Suite, project management tools) to perform administrative tasks effectively.
- Administrative Support: liaising with other teams and team members.
- Professional Development: Stay informed about best practices in both transportation safety and administrative functions, seeking training when necessary.
