Job Summary:


We are seeking a highly organized, proactive, and detail-oriented Executive Virtual Assistant to provide comprehensive administrative support to executive leadership. The ideal candidate is an excellent communicator with strong time management skills, the ability to handle confidential information, and experience managing multiple priorities in a fast-paced environment.

 

Key Responsibilities

 

  • Manage executive calendars, schedule meetings, and coordinate appointments.
  • Screen and respond to emails, phone calls, and other communications.
  • Arrange domestic and international travel, including flights, accommodations, and itineraries.
  • Prepare reports, presentations, meeting agendas, and minutes.
  • Coordinate projects and follow up on action items.
  • Conduct online research and compile information as requested.
  • Organize digital files and maintain accurate records.
  • Assist with expense reporting, invoicing, and basic bookkeeping tasks.
  • Liaise with clients, vendors, and internal stakeholders professionally.
  • Handle confidential information with discretion and maintain executive confidentiality.
  • Support special projects and perform other administrative duties as assigned.

Required Qualifications

 

  • High school diploma required; associate's or bachelor's degree preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • High level of professionalism and attention to detail.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving and decision-making skills.
  •  

Technical Skills

 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Google Workspace (Docs, Sheets, Gmail, Calendar).
  • Familiarity with Zoom, Microsoft Teams, Slack, and project management tools such as Asana, Trello, or Monday.com.
  • Knowledge of scheduling software, CRM systems, and cloud storage platforms is an advantage.

Preferred Skills

 

  • Project coordination experience.
  • Basic bookkeeping or accounting knowledge.
  • Social media management experience.
  • Event planning and coordination.
  • Ability to prioritize tasks in a fast-paced environment.

Work Environment
