We are seeking a dedicated and experienced Front Desk professional to join our physical therapy office. The ideal candidate will possess a strong background in medical administrative support, patient service, and office management within a healthcare setting. This role requires excellent communication skills, proficiency with electronic health record (EHR) systems, and a thorough understanding of medical billing and coding procedures. As the first point of contact for patients and visitors, you will play a vital role in ensuring smooth clinic operations, maintaining patient confidentiality, and delivering exceptional customer service.

Duties

  • Greet patients and visitors warmly, providing outstanding front desk customer service while managing multi-line phone systems with professionalism.
  • Verify insurance coverage, perform insurance eligibility and benefits verification, and handle insurance documentation review to ensure accurate billing processes.
  • Schedule appointments efficiently using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; coordinate care plans and follow-up appointments.
  • Collect payments, process medical collections, and manage billing tasks related to Medicare, ICD-10/ICD-9 coding, CPT coding, and other medical billing procedures.
  • Maintain accurate medical records by filing documents systematically and ensuring compliance with HIPAA regulations for health information management.
  • Assist with intake procedures for new patients, including data entry, documentation review, and verifying insurance information.
  • Support clinic operations by managing office supplies, maintaining cleanliness of the front desk area, and ensuring efficient workflow within the medical office environment.
  • Demonstrate excellent phone etiquette and typing skills (including 10 key typing), providing clear communication to patients and staff at all times.

Experience

  • Prior experience working in a medical office or healthcare setting is required; clinic experience is highly preferred.
  • Proficiency with EMR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with dental terminology or dental office experience is a plus.
  • Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and medical billing processes including Medicare claims processing.
  • Experience with insurance verification procedures and understanding of HIPAA compliance standards for patient privacy.
  • Bilingual abilities are advantageous to serve diverse patient populations effectively.
  • Demonstrated competence in clerical tasks such as filing, data entry, appointment scheduling, and handling multi-line phone systems.
  • Excellent customer service skills combined with organizational abilities to manage office operations smoothly in a fast-paced environment.
