Role Description
This is a full-time on-site role for an Experienced Legal Assistant located in Hauppauge, NY. The Experienced Legal Assistant will be responsible for preparing legal documents, providing administrative assistance, and supporting attorneys in various legal tasks. The role involves communicating with clients, managing case files, and ensuring the smooth operation of the legal office. Other tasks include organizing and maintaining legal documents, conducting legal research, and assisting in trial preparation.
Key Responsibilities
- Administrative & Clerical Support: Perform comprehensive secretarial and clerical duties for assigned attorneys, including managing mail and transcribing electronic dictation.
- Case Management: Open and maintain new cases, which include organizing documents, indexing materials, and managing electronic files. Download and organize documents, emails, and court filings within the firm’s electronic litigation system.
- Document Preparation: Draft, prepare, and format legal documents, including pleadings, discovery requests and responses, and general correspondence. Prepare documents and exhibits for electronic filing.
- Scheduling & Calendaring: Manage attorney calendars by scheduling and coordinating depositions, conferences, and other appointments. Meticulously calendar and track deadlines for discovery, court appearances, and other critical events.
- Court Filings: Electronically file legal documents in New York State and federal courts.
- Communication: Serve as a point of contact for clients, opposing counsel, court reporters and process servers, answering telephone calls and providing non-legal information.
- Billing & Invoicing: Accurately input billing information into the firm’s litigation software. Processing third-party vendor invoices in collaboration with the firm’s finance department.
- Logistical Support: As needed, deliver or retrieve documents from courthouses, other law offices, or external locations.
Qualifications
- Experience: A minimum of three (3) years of litigation experience is required. This includes familiarity with legal filing and e-filing processes.
- Procedural Knowledge: Demonstrable knowledge of New York and federal court procedures and rules.
- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Outlook, Excel) and Adobe Acrobat Pro. Strong typing skills are essential. The firm operates in a primarily paperless environment.
- Organizational Skills: Exceptional organizational and multitasking abilities, with a proven capacity to manage priorities in a fast-paced environment.
- Communication Skills: Excellent written and verbal communication skills, with meticulous attention to detail.
- Professional Attributes: A collaborative attitude, a willingness to take on new challenges, and the ability to learn new skills and technologies. Fosters an atmosphere of teamwork and cooperation.
- Notary: A current Notary Public license in New York is preferred.

Salary Range
$45,000 - $55,000 USD, commensurate with experience.
