The Role
As the Office Manager, you will be the backbone of our daily operations. You will manage everything from front-desk workflows and financial health to staff development and regulatory compliance. This is a hands-on leadership role that requires a "get-it-done" attitude and a deep understanding of the unique needs of a pediatric clinic.
Key Responsibilities
- Lead the Team: Recruit, train, and mentor administrative and clinical support staff to ensure a cohesive and positive work culture.
- Optimize Workflow: Manage patient scheduling, check-in/out processes, and medical records to ensure smooth daily operations and minimal wait times.
- Financial Oversight: Manage the revenue cycle, including insurance verification, co-pay collection, and coordination with billing partners.
- Maintain Compliance: Ensure the practice remains compliant with HIPAA, OSHA, and Florida healthcare regulations.
- Systems Management: Oversee the optimization of EMR and Practice Management software to improve efficiency and data accuracy.
What We Are Looking For
- Experience: 3+ years of experience in medical office management (pediatric or family practice experience is a major plus).
- Knowledge: Strong understanding of medical billing, CPT/ICD-10 coding, and healthcare HR practices.
- Tech Savvy: Proficiency in EMR systems and digital management tools.
- Communication: Exceptional interpersonal skills—you should be as comfortable talking to a concerned parent as you are discussing financial reports with the practice owner.
- Proactive Mindset: A focus on risk mitigation and operational structure to help the practice grow securely.
