To act as the single communication point for all export customers, ensuring timely response to queries, sending required documents, coordinating with the factory for production/dispatch status, and ensuring payments are followed up professionally.

Key Duties & Responsibilities1. Customer Communication

  • Be the primary contact for export customers.
  • Respond to customer queries via email/WhatsApp/calls professionally & promptly.
  • Share updates on:
  • Order status
  • Production progress
  • Dispatch schedules
  • Shipment & tracking

2. Documentation & Coordination

  • Send documents such as:
  • PI (Proforma Invoices)
  • Packing Lists
  • Commercial Invoices
  • BL / AWB copies
  • Test reports / COA if applicable
  • Coordinate with export logistics team/freight forwarders for shipment updates.
  • Liaise with production and dispatch team to get real-time status.

3. Payment Follow-up

  • Track outstanding payments against each customer.
  • Send professional reminders for due & overdue payments.
  • Share statements when requested.
  • Escalate problem payers to management if required.

4. Customer Relationship Management

  • Maintain and update customer records, contacts and conversation histories.
  • Understand customer needs and ensure satisfaction.
  • Ensure customers feel valued and prioritized.

5. Internal Coordination

  • Work closely with:
  • Production planning team
  • Quality team (if inquiries on specs, claims)
  • Dispatch/logistics team
  • Accounts department (for payment and statements)

6. Reporting

  • Weekly report to promoters:
  • Orders in progress
  • Shipments in pipeline
  • Payments received & pending
  • Customer issues if any

Professional Skills Required

  • Clear English communication (written & spoken)
  • Email writing etiquette
  • Basic Excel (follow-up sheets, invoice summaries)
  • Knowledge of export documents preferred but not mandatory (can be trained)
  • Polite, patient, and well-organized personality

Job Types: Full-time, Permanent, Freelance

Pay: ₹35,000.00 - ₹40,000.00 per month
