Export Specialist - International Air & Ocean Freight Forwarding

Chicago, IL Area

Edward J Zarach & Associates, Inc., dba Zarach Logistics is located in Bensenville, Illinois near Chicago, O’Hare airport and is hiring to fill a full-time position as an Ocean and Air Export Specialist. This person will be responsible for managing and operating the shipment lifecycle for their assigned customer accounts. They will be the key customer contact and need to be an expert in ensuring all requests and customer requirements are met and answered accurately and in a timely manner. This person will be accountable for executing and overseeing tasks for each shipment in addition to daily communication, reporting, and email management.

Position Overview:

We are looking for an Export Specialist for Air & Ocean shipments who will be responsible for all duties and tasks related to moving our clients’ freight from the United States into foreign countries. The Export Specialist is the single point of contact within Zarach Logistics for the clients that they support. The ideal candidate will have excellent written and verbal communication skills, and the ability to prioritize tasks while thriving in a fast-paced environment.

Key Responsibilities and Competencies:

  • Coordinate air and ocean shipments from beginning to end, ensuring the on-time delivery of cargo.
  • Prepare all necessary shipping documentation related to international bookings and process all export documentation to clearing agents to include: (HAWB, MAWB, AES's, Manifest, Shipping Instructions, Haz Cargo Decl., Bill of Ladings, and Certificate of Origin, etc.)
  • Consistently update clients with the status of their shipments.
  • Working with and interacting with clients, carriers, and warehouses to resolve issues as they occur with shipments.
  • Ensuring timely updates of shipment details and updating the transportation system in a timely manner with proper and pertinent information while meeting deadlines.
  • Correct and timely billing of clients’ shipments for the services provided.
  • Maintain Operational Excellence.
  • Promote a positive working relationship for all team members.
  • Understand the processes, documentation, and terminology involved in international shipping.
  • Apply industry knowledge and critical thinking to adapt processes/create solutions in response to challenges both internally and externally.
  • Communicate clearly, timely, and effectively with Customers, Agents, and Outside Vendors.
  • Execute/Coordinate tasks on the shipments to meet all customer SOP requirements.
  • Collaborate, develop, and build relationships with international transportation carriers and agent representatives regarding air, ocean, import, and export products.
  • Timely preparation of rates and quotes for customers and overseas agents.
  • Coordinate the routing of export bookings with ocean carriers and airlines.
  • Dispatch pick-ups to authorized agents and drayage companies, shipping lines, airlines, trucking companies, clearing agents, warehouses, and all other parties involved in the shipment.

Skills and Educational Requirements:

  • 1+ years of experience in international freight forwarding is preferred.
  • College Degree or equivalent experience preferred.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word, Teams).
  • English is the principal language for this position. Proficiency in Mandarin Chinese language is a plus.
  • Qualified applicants must currently possess legal authorization to work in the United States.

Interpersonal Relationships:

As the designated single point of contact, the Export Specialist may collaborate with all levels of personnel within the client’s company, its agents, vendors, and customers. You will occasionally have video calls in support of your clients and must be comfortable interacting with these clients in a consistently professional manner.

Working conditions:

Employees work on site at the Zarach Logistics offices located in Bensenville, IL 60106. There may be instances where you may work beyond normal operating hours or need to work from home. There may be instances where you travel to client locations.
