About the Role

We are hiring an External Operations Manager to create and maintain the systems that support every part of the business outside the cafés. This includes wholesale, online orders, subscriptions, membership, fulfillment, digital storefronts, and cross departmental workflows.

This role is for someone who loves structure, thrives in simplifying complexity, and finds meaning in building systems that make work feel clear and connected. You will be the operational bridge between leadership, creative, events, accounting, the roaster, and the cafés. Your work becomes the foundation that supports our next phase of growth.

This is a deeply important role for the brand, carrying both responsibility and opportunity as we continue to expand our reach and refine our operational backbone.

A Three Phase Onboarding Structure

We are implementing a phased onboarding plan to support clarity, support, and long term success in this role.

Phase One — Learn and Absorb (First 30 Days)

Approximately 25 hours per week

You will shadow key team members, learn existing systems, map workflows, and observe how information moves through the business. This phase focuses entirely on understanding, not changing.

Phase Two — Build and Conceptualize (Days 30 to 60)

Approximately 30 hours per week

You will begin shaping the next version of our systems. With the Director of Operations, you will identify what needs to be rebuilt, streamlined, automated, or clarified. You will outline new workflows and begin activating team members around emerging structures.

Phase Three — Own and Activate (Days 60 to 90 and beyond)

Approximately 35+ hours per week

You will take full ownership of the systems you build. You will coordinate cross functional communication, delegate with clarity, refine efficiency, and ensure external channels operate with consistency and reliability.

What You Will Lead

  • Build and maintain systems for wholesale, subscriptions, membership, fulfillment, and online orders
  • Oversee Shopify operations including product setup, digital accuracy, and inventory alignment
  • Maintain clean data across platforms including Shopify, Recharge, and internal dashboards
  • Track roasted coffee movement from production to allocation
  • Strengthen customer service workflows across all external channels
  • Support operational needs for events, RSVP lists, and membership communications
  • Document workflows and create SOPs for recurring operational needs
  • Communicate clearly across departments and keep projects organized
  • Delegate tasks with clarity and follow through
  • Provide leadership with operational insights, data, and visibility

Who You Are

You are grounded, organized, and deeply systems minded. You notice patterns quickly and turn them into structure. You communicate clearly, take pride in accuracy, and enjoy creating order in complex environments. You work well across teams, value clarity, and find meaning in building systems that support both people and brand experience.

You understand operations through the lens of hospitality and brand culture. You care about details, consistency, and the feeling a guest has whether they are standing in the café, receiving an order in the mail, or engaging with us online.

Qualifications

  • Strong experience in operations, e-commerce, retail systems, logistics, or business administration
  • Familiarity with Shopify or similar platforms
  • Experience building or maintaining detailed workflows and SOPs
  • Excellent communication and organizational skills
  • Ability to work collaboratively with multiple departments
  • Experience with wholesale, fulfillment, or subscription programs is a plus
  • Appreciation for craftsmanship, hospitality, and brand culture
  • Comfortable with remote collaboration and cross functional flow

Compensation: $35/hr.
