Job Overview:

We are urgently hiring a Fabric Sourcing & Follow-Up Executive with hands-on experience in woven fabrics. The role involves close coordination with fabric mills and suppliers, ensuring timely fabric dispatch and inward, managing documentation, and following up on payments. The ideal candidate should be proactive, detail-oriented, and capable of handling multiple follow-ups in a fast-paced apparel manufacturing environment.

Key Responsibilities:

  • Coordinate daily with fabric mills, traders, and suppliers for timely dispatch and inward of fabrics.
  • Track fabric orders, delivery schedules, pending quantities, and lead times.
  • Ensure timely raising and coordination of documents such as POs, GRNs, invoices, challans, and delivery notes.
  • Follow up with internal accounts teams and suppliers for payment closures.
  • Maintain and update Excel trackers for fabric sourcing, inward status, and supplier performance.
  • Handle professional email communication with vendors and internal teams.
  • Proactively identify and report delays, shortages, or quality issues to the sourcing/merchandising team.
  • Support smooth coordination between sourcing, production, and merchandising teams.

Qualification:

  • Bachelor’s degree or diploma in Textiles / Fashion Technology / Apparel Production / Supply Chain / Commerce.
  • 2–3 years of relevant experience in fabric sourcing, follow-up, or production merchandising.
  • Prior experience in a garment manufacturing unit, export house, or textile sourcing company.
  • Working knowledge of apparel documentation such as POs, GRNs, invoices, and challans.

Skills:

  • Strong knowledge of woven fabrics (cotton, blends, synthetics, GSM, width, shrinkage basics)
  • Hands-on experience in coordinating with fabric mills, traders, and suppliers.
  • Proficiency in MS Excel (VLOOKUP/XLOOKUP, pivot tables, trackers, basic formulas)
  • Excellent email drafting and follow-up skills.
  • Good understanding of the fabric sourcing lifecycle and supply chain coordination.
  • Ability to track fabric inward, delivery schedules, and pending quantities accurately.
  • Strong coordination, negotiation, and time-management skills.
  • Detail-oriented with the ability to flag delays, shortages, or quality issues proactively.
  • Ability to work efficiently under tight timelines and production pressure.
