Job Summary
The Facilities Coordinator (Administrative) supports daily facilities operations across the organization by coordinating purchasing and financial processing, managing building access and security administration, supporting mail and package logistics, and providing operational coordination for the Facilities team. This role serves as a central point of contact for facilities related requests and helps ensure smooth day to day operations for team members and locations.
Job Responsibilities

- Coordinates departmental purchasing and financial processing, including invoices, p cards, supply ordering, approvals, and monthly expense tracking
- Administers building and parking access by creating, modifying, and removing badge and vehicle gate access, issuing temporary badges, and maintaining access schedules
- Performs periodic access reviews and supports security related record accuracy
- Serves as backup for mailroom operations, including package handling, mail distribution, and scheduled post office runs
- Responds to facilities related requests through in person, email, and digital communication channels and provides routine reporting and tracking as needed
- Monitors vendor services such as document storage and records destruction to support departmental requirements
- Assists Facilities team members, departments, and branches with operational and logistical support to maintain daily operations
- Supports special projects, errands, and operational coordination as needed
Required Qualifications
An equivalent combination of education, training, and experience will be considered.
- High school diploma or equivalent
Preferred Qualifications
- 1+ year administrative, facilities, operations, or coordination experience
Knowledge, Skills, and Abilities (KSA’s)
A representation of the knowledge, skills, and abilities necessary to perform this job competently.
- Strong written and verbal communication across a variety of audiences
- Ability to coordinate requests across multiple departments, locations, and vendors
- Skilled in organization and prioritization of multiple tasks in a work environment with interruptions
- Ability to manage time sensitive processes and recurring deadlines
- Strong attention to detail and accuracy in work
- Understanding of building access practices and the importance of accurate permissions and records
- Knowledge of administrative processes such as purchasing, invoicing, and supply coordination
- Proficiency with Microsoft Office software and ability to learn access control and facilities management systems
- Ability to follow established procedures while adapting to changing needs

- Onsite work environment; requires regular use of online tools, systems, and collaboration platforms
- General office setting when working onsite
- Occasional travel to branch locations, vendor sites, or other business-related locations
