SUMMARY: The Facilities & Fleet Maintenance Specialist plays a vital role in ensuring that The Arc Gateway’s environments and vehicle fleet remain safe, clean, and fully operational for the individuals we serve, our staff, and visitors. This hands-on position is responsible for:

· Performing routine grounds maintenance, repairs, and general upkeep across various agency facilities

· Managing minor to moderate facility needs and executing preventative maintenance plans

· Coordinating with external vendors and contractors for specialized or large-scale services

· Overseeing the safety, functionality, and preventative care of the agency’s vehicle fleet

· Conducting regular vehicle maintenance and repairs, and supporting the Transportation Supervisor in assessing major service requirements

· Support the overall mission of The Arc Gateway by performing additional duties as assigned

Operating across multiple locations and settings, this role is essential to the smooth functioning of our nonprofit organization. With a focus on cost-effective solutions and service efficiency, the Facilities & Fleet Maintenance Specialist helps uphold high standards while working within budget-conscious parameters.

This position requires a self-motivated individual with excellent time management skills, capable of working independently and efficiently without the need for close supervision or detailed instructions. Proactive in identifying tasks and taking initiative to complete them with minimal guidance.

FACILITIES & FLEET KEY RESPONSIBILITES include the following, other duties may be assigned:

Facilities Maintenance Duties:

  • Perform general maintenance and repairs across agency buildings, grounds, and equipment, including tasks related to electrical, plumbing, carpentry, painting, and HVAC systems within scope of expertise
  • Prioritize daily work orders and implement preventative maintenance schedules to ensure timely, cost-effective service
  • Collaborate with the Chief Advancement Officer (CAO), to evaluate, plan, and recommend major repairs, replacements, and capital improvement projects
  • Coordinate and oversee vendor services, ensuring quality workmanship and compliance with agency policies, budgets, and timelines
  • Conduct routine inspections of building systems and equipment, documenting findings and completed work
  • Identify opportunities to streamline operations, reduce costs, and extend the lifespan of facility assets through proactive care
  • Respond promptly to emergency maintenance issues and safety concerns
  • Maintain inventory of tools, equipment, and supplies; recommend purchases or repairs as needed

· Promote a culture of safety by following established health, safety, and environmental protocols

Fleet Maintenance Duties:

· Conduct routine vehicle maintenance, including oil changes, brake service, tire rotations, fluid checks, battery replacements, and minor repairs

· Perform regular safety inspections to ensure all vehicles meet compliance and operational standards

· Maintain detailed records of services performed, parts used, and maintenance schedules for each vehicle

· Prioritize daily vehicle maintenance needs while planning for long-term preventative care

· Coordinate with external vendors for specialized services and repairs

· Partner with the Transportation Supervisor to assess major repair needs, obtain quotes, and make fiscally responsible decisions regarding repairs or replacements

· Assist in developing and maintaining a preventative maintenance schedule to minimize breakdowns and extend vehicle lifespan

· Monitor inventory of vehicle maintenance supplies, parts, and tools; recommend purchases within budget guidelines

· Identify cost-saving opportunities, process improvements, and vendor partnerships to enhance operational efficiency

· Respond to emergency vehicle issues, including occasional after-hours or weekend needs

· Uphold The Arc Gateway’s standards for safety, service quality, and responsible resource management in all fleet-related activities

SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUATION & EXPERIENCE:

  • High School Diploma or Equivalent – Required for consideration.
  • Preferred Experience – At least 2 years of hands-on work in facilities maintenance, vehicle servicing, fleet operations, or a closely related field.
  • Automotive Expertise – Solid understanding of light- to medium-duty vehicle systems, including preventive maintenance and repair techniques.
  • Building Systems Knowledge – Familiarity with electrical, plumbing, HVAC, carpentry, painting, and grounds maintenance.
  • Equipment Operation – Capable of safely operating vehicles, lifts, and standard shop machinery.
  • Tool Proficiency – Skilled in the safe use of hand tools, power tools, ladders, and other maintenance equipment.
  • Problem-Solving Ability – Adept at evaluating maintenance needs and proposing cost-effective, practical solutions.
  • Organizational Skills – Strong time management and task prioritization in fast-paced, multi-location settings.
  • Team Collaboration – Excellent communication and interpersonal skills for working effectively with colleagues, supervisors, and external vendors.

  • Licensing Requirements – Must hold a valid Florida driver’s license with a clean driving record.
  • Background Screening – Must be able to successfully pass a Level II and Local background check and pass a Drug Screen.

Knowledge of Americans with Disabilities Act regulations and/or experience with I/DD community preferred

LANGUAGE SKILLS - Ability to read and correctly interpret the maintenance requests, and respond to common inquiries or complaints from persons served. Ability to effectively present information to top management during the Facilities Manager’s absence.

MATHEMATICAL SKILLS - Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

REASONING ABILITY - Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to define problems, collect data, establish facts and draw valid conclusions.

CERTIFICATES, LICENSES, REGISTRATIONS - Must be able to pass FDLE background screening, Department of Children and Families Abuse Registry Check, local law enforcement background check, Affidavit of Good Moral Character, and drug screen. Successful completion of Zero Tolerance, and HIPAA certifications will be required.
