The Facilities & Maintenance Lead is responsible for the hands-on maintenance, repair, and operational oversight of all residential, commercial, and administrative properties operated and owned by EBED Community Improvement, Inc. This position ensures that all facilities and vehicles remain safe, functional, and compliant with applicable local, state, and federal codes, regulations, licensing standards, and organizational requirements.
This position is classified as an Essential Employee and is required to respond to facility-related emergencies, urgent maintenance needs, and critical operational issues, including during evenings, weekends, holidays, inclement weather, or emergency situations. The Facilities & Maintenance Lead serves as the first level of triage for maintenance concerns, completes non-routine and technical repairs within scope, and coordinates vendor services when specialized work is required.
Perform routine, preventive, corrective, and emergency maintenance for residential properties and lead assessment, triage, and vendor coordination for commercial and complex building systems across all EBED properties.
Conduct hands-on maintenance for non-complex repairs and perform detailed assessments of complex or commercial systems to determine scope of work and coordinate qualified vendors for completion.
Conduct frequent inspections of properties to identify safety hazards, maintenance needs, and compliance issues.
Ensure properties are maintained in a clean, safe, and orderly condition, both interior and exterior.
Serve as the primary point of triage for maintenance requests by assessing urgency, safety impact, and scope, and determining whether work can be completed in-house or requires vendor support.
Complete repairs when within skill and authorization scope prior to dispatching third-party vendors.
Ensure maintenance requests are accurately documented, tracked, and closed only upon full resolution.
Ensure all properties remain compliant with applicable building codes, fire/life safety standards, zoning requirements, and licensing regulations.
Schedule, coordinate, and support inspections (fire, health, licensing, insurance, elevator, and other regulatory inspections).
Coordinate and ensure completion of annual elevator inspections and certifications in accordance with county and state requirements, including scheduling vendors and maintaining inspection documentation.
Oversee fire extinguisher inspections, servicing, tagging, and replacement in compliance with fire code requirements and ensure documentation is maintained and readily available for inspections.
Coordinate inspection, testing, and maintenance of fire alarm systems, sprinkler systems, emergency lighting, and exit signage, ensuring all required reports and certifications are obtained and retained.
Review inspection findings and implement corrective actions as required.
Monitor contractor compliance with permits, specifications, and safety requirements.
Develop and maintain a cadre of qualified service providers for facilities and vehicle maintenance.
Coordinate, monitor, and follow up on contracted vendor work to ensure quality, timeliness, code compliance, and cost effectiveness.
Review vendor invoices and documentation related to maintenance services.
Perform routine preventive maintenance and minor repairs on EBED vehicles and equipment.
Coordinate external vehicle repairs and inspections as needed.
Conduct regular vehicle inspections to ensure safety and operational readiness.
Maintain inventory of maintenance supplies, tools, replacement parts, and equipment.
Maintain accurate documentation of maintenance activities, inspections, repairs, and vendor services.
Complete required reports and administrative documentation in a timely manner.
Respond to after-hours, weekend, holiday, and emergency maintenance issues as required.
Report to EBED sites during emergencies, inclement weather, or when other staff may be excused or operating remotely.
Support continuity of operations during emergency situations.
This position is designated as an Essential Employee role and requires: - Availability for on-call and emergency response, including evenings, weekends, holidays, and during inclement weather or declared emergencies. - Ability to report in person to EBED sites as needed to address urgent maintenance and safety issues. - Reliable transportation and ability to travel between multiple EBED locations. - Ongoing communication availability during on-call periods. - Compliance with EBED emergency preparedness and response protocols.
High school diploma or equivalent required; Associate’s degree preferred.
Minimum of two (2) years of experience in facilities maintenance, property maintenance, or facilities operations.
Experience with commercial and residential facilities maintenance preferred.
Valid driver’s license required.
EPA Section 608 Certification required (or must be obtained within six (6) months of hire).
OSHA 10 required; OSHA 30 preferred (or must be obtained within ninety (90) days of hire).
HVAC, electrical, or related trade certification preferred.
First Aid and CPR certification preferred.
Knowledge of building systems including HVAC, plumbing, electrical, mechanical, and life safety systems.
Working knowledge of applicable building codes, safety standards, and maintenance best practices.
Ability to diagnose maintenance issues and determine appropriate corrective actions.
Strong organizational, documentation, and communication skills.
Ability to prioritize tasks, manage deadlines, and respond effectively in emergency situations.
Ability to lift, push, and pull up to fifty (50) pounds.
Ability to stand, walk, climb, bend, stoop, kneel, and reach for extended periods.
Visual and hearing ability sufficient to identify safety hazards and emergency situations.
Perform additional duties and responsibilities as assigned to support organizational operations.
