The DC office has an opportunity for an on-site Facilities Manager. This is an exempt, full-time position that will report to the Office Administrator and will work closely with other members of the Administrative Department. This role will provide general day-to-day facilities and housekeeping functions which include responding to calls for facility repairs and installations, maintaining and repairing office equipment and furniture, handling office moves, as well as coordinating conference room set-ups for Firm events. This role requires excellent organization and planning skills in a fast-paced environment with the ability to prioritize multiple tasks and projects to meet deadlines.
Responsibilities:
- Manage the maintenance of office areas and equipment as well as arrangement and housekeeping of the office facilities to ensure office space is maintained in a clean, orderly, and functional fashion
- Coordinate routine facility maintenance including but not limited to carpentry, plumbing, painting, electrical and emergency repairs
- Act as a liaison with building management and other contract services such as cleaning, carpet cleaning, maintenance, dock scheduling, lighting, and deliveries
- Manage afterhours admittance and property removal
- Work with vendors relating to office furniture and decorations including researching prices and obtaining bids
- Develop emergency procedures and coordinate safety programs within the office in coordination with the Office Administrator and HR Manager
- Manage and process monthly facility-related vendor invoices
- Coordinate office moves and facility modifications
- Purchase office equipment and pantry supplies
- Order business cards, memo pads, letterhead, and envelopes
- Maintain relationships with vendors
- Manage overtime HVAC requests from attorneys and staff; submit requests to building management when necessary
- Oversee client and event functions, coordinating food and conference room set-ups
- Perform other duties as requested or assigned
Requirements:
- Associate’s degree (A.A.) from two‑year college with 2-4 years of related technical experience; or equivalent combination of education and experience. Professional services experience highly desirable.
- Demonstrated proficiency in Microsoft Suite including Word, Outlook, and Excel.
- Ability to communicate and interact effectively with partners, attorneys, managers, staff, and clients and deliver a high level of responsiveness, diplomacy, and professionalism in these interactions.
- Excellent organizational and planning skills with exceptional attention to detail and ability to prioritize multiple tasks and projects to meet deadlines, including a willingness to “roll up sleeves” and operate at whatever level is needed to accomplish tasks.
- Ability to exercise discretion with confidential and sensitive information.
- A strong client service approach and team orientation.
- Ability to work extended hours and weekends when needed. Work occasionally requires more than 40 hours per week to perform the essential duties of this position.
- Ability to lift and/or move up to 25 pounds.
The expected annual salary for this position ranges from $94,000 - $141,000. The salary offered will be determined by a wide range of factors including but not limited to experience level, education/training, and relevant skills.
