SUMMARY
The Purchasing and Facility Coordinator (PFC) position assists with coordinating the purchase of office supplies and paper goods submitted by support staff members across the organization. It serves as a second point person to receive supplies and equipment and ensures they are delivered to correct departments in a timely manner. The PFC is responsible for assisting with updating the asset inventory system with new acquisitions and disposals and conducting an annual physical inventory. The PFC assists with overseeing building activities to ensure health and safety standards are met, this includes submitting work orders to the building management for repairs and maintenance. The PFC also assists with setting up meeting rooms for special events and ensuring the efficient and accurate distribution of the US and interoffice mail. The PFC will be responsible for the purchasing and facility needs at all locations: Main Office (LA), 24th Street office, and future locations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Works directly with the support staff who are responsible for ordering and receiving office supplies for their departments and ensures the purchases fall within the organization procurement policy and budget.

Assists in evaluating all purchases upon arrival to ensure the packing slip match the purchase order and schedules delivery of the items to the departments. Assign an asset tag to equipment and enter information into the inventory.

Assists with communicating with the vendors regarding pricing, availability of products, and delivery schedule of items, as necessary.

Assists with monitoring the variety of building locations to ensure physical spaces are safe, clean, and functional. Submit work orders to building management to ensure problems are resolved quickly.

Ensures assigned equipment is in proper working order and available for use. If necessary, coordinate their repair or preventative maintenance appointments. Supervises the receptionists who are responsible for greeting clients and providing direction, answering, and routing incoming calls and managing the front desk operations.

Ensures the room setup request scheduled on Yarooms are completed and assist with special event activities onsite.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
