Female HR Administrator Cum Front Office Executive

We are a growing company located in Jebel Ali Freezone, seeking a proactive and detail-oriented Female HR Administrator Cum Front Office Executive. The ideal candidate will have a solid background in HR administration and general office management, with strong knowledge of JAFZA’s rules and regulations. Key Responsibilities:HR Administration:

  • Manage and oversee HR administrative functions, ensuring full compliance with UAE Labor laws and JAFZA regulations.
  • Handle employee onboarding, visa processes, and work permits, ensuring all procedures adhere to JAFZA guidelines.
  • Prepare and maintain employee documentation, ensuring it meets JAFZA policies and requirements.
  • Liaise with JAFZA authorities to secure necessary approvals and ensure ongoing compliance.
  • Address employee relations queries, offering guidance on HR policies and procedures.
  • Assist in recruitment processes, including job postings, candidate screening, and interview coordination.
  • Organize and manage employee training and development programs.
  • Maintain and update employee records, handle payroll administration, and ensure all HR documentation is current.

Front Office Executive:

  • Oversee daily administrative operations, including managing office supplies, equipment, and ensuring the office is well-organized.
  • Ensure the office premises are clean, well-maintained, and safe for employees and visitors.
  • Coordinate and schedule internal meetings, appointments, and company events.
  • Manage external vendor relationships for office maintenance, supplies, and other services.
  • Assist with the preparation of internal reports, presentations, and other documentation for HR and administrative purposes.
  • Handle general administrative inquiries and ensure smooth day-to-day office operations.
  • Ensure compliance with health and safety regulations and office procedures.
  • Greet and welcome visitors in a professional, friendly manner, and manage visitor logs and security protocols.
  • Answer phone calls and direct them to the relevant department or individual.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Minimum of 2 years of experience in HR administration and general office administration.
  • Strong knowledge of JAFZA rules, regulations, and procedures, particularly in visa, work permit, and employee documentation processes.
  • Experience in general office administration, facility management, and vendor management.
  • Proficiency in Microsoft Office and Google Suite.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong organizational, multitasking, and communication skills.
  • Ability to remain calm and professional in a fast-paced environment.
  • Knowledge of UAE Labor Laws and JAFZA health and safety regulations is a plus.
