Job Title: Proposal & Documentation CoordinatorJob Description-FEMALE

The Proposal & Documentation Coordinator is responsible for supporting the construction and real estate operations by preparing, organizing, and managing all project-related documents, quotations, and correspondence. The role involves coordinating with clients, suppliers, subcontractors, and internal teams to ensure smooth workflow, accurate documentation, and timely submission of proposals.

Key Responsibilities

  • Prepare, review, and organize all project documentation including proposals, quotations, letters, contracts, and reports.
  • Assist in the preparation of BOQs, cost estimates, and pricing sheets for construction and maintenance projects.
  • Contact suppliers and subcontractors to obtain material quotations, negotiate basic rates, and ensure timely collection of offers.
  • Coordinate with real estate clients for tenancy matters, renewals, maintenance requests, and follow-up communication.
  • Maintain accurate records of quotations, project files, supplier data, and client communications.
  • Prepare professional documents using MS Word, and handle data analysis, reports, and costing sheets using MS Excel (advanced formulas preferred).
  • Support the estimation team by comparing quotations, preparing summary sheets, and generating price breakdowns.
  • Ensure all documentation is filed, indexed, and updated in the system for easy retrieval.
  • Follow up on project submissions, client approvals, and supplier confirmations.
  • Assist in preparing presentations, company profiles, and tender submission documents.
  • Coordinate with the accounts department for payment follow-ups and invoice tracking when required.
  • Provide administrative support to the technical and operations team whenever needed.

Skills & Qualifications

  • Strong proficiency in Microsoft Excel (formulas, formatting, calculations) and Microsoft Word.
  • Good communication skills for dealing with clients, suppliers, and internal teams.
  • Knowledge of construction materials, basic pricing, and documentation processes.
  • Ability to handle multiple tasks and deliver documents within deadlines.
  • Organized, detail-oriented, and able to maintain systematic records.
  • Previous experience in construction or real estate documentation is an advantage.

Job Type: Full-time

Pay: AED2,000.00 - AED2,500.00 per month
