A receptionist manages the front desk, acting as the first point of contact by greeting visitors, answering and directing calls, handling mail, scheduling appointments, and performing various administrative tasks like filing, data entry, and maintaining office supplies, ensuring smooth daily operations and a welcoming environment. Key duties include managing calendars, preparing meeting rooms, providing general office support, and maintaining a tidy reception area, requiring excellent communication, organization, and customer service skills. Key Responsibilities

  • Front Desk Management: Greet and welcome guests, direct visitors, monitor access, and create a positive first impression.
  • Communication: Answer, screen, and forward incoming calls; take messages; and handle general inquiries.
  • Scheduling: Manage appointment calendars for staff and book meeting rooms.
  • Administrative Support: Sort and distribute mail/deliveries, perform data entry, filing, scanning, and manage office supplies.
  • Office Maintenance: Keep the reception area clean, organized, and stocked.
  • Support: Assist with travel arrangements, catering for meetings, and other clerical tasks as needed.
