We are seeking a proactive and highly organized Secretary cum Document Controller to join our dynamic team at Future Projects Technical Services, a leading interior design and fit-out company in Dubai. The ideal candidate will support day-to-day administrative operations and ensure all project documentation is well-managed, up-to-date, and properly filed.
Key Responsibilities:
- Manage and organize project-related documents, including contracts, drawings, correspondence, and approvals.
- Ensure all documents are properly archived and version-controlled.
- Provide administrative support to the project and design teams.
- Handle internal and external communication, including drafting letters, emails, and minutes of meetings.
- Coordinate with consultants, contractors, and suppliers for timely documentation submission.
- Maintain filing systems (physical and digital) and retrieve information quickly when needed.
- Prepare reports and assist with document submissions for authorities and clients.
- Schedule appointments, manage calendars, and support the team with logistics and paperwork.
Requirements:
- Minimum 2 years of experience in a similar role, preferably in the interior fit-out or construction industry in the UAE.
- Strong knowledge of document control practices and administrative procedures.
- Excellent written and verbal communication skills in English.
- Proficiency in MS Office (Word, Excel, Outlook) and document control systems.
- Ability to multitask, prioritize, and maintain confidentiality.
- Knowledge of UAE authority submission procedures (Dubai Municipality, DCD, Trakhees, etc.) is a plus.
