Position Overview

As an FEP Executive Assistant, you will support the Founder and assist with recruiting, scheduling, and operational coordination as the firm scales. This role requires professionalism, organization, and the ability to manage multiple priorities in a fast-moving environment where confidentiality and precision are paramount.

You will be the organizational backbone of the company, managing applicant interviews, communications, and internal scheduling while representing the discretion and polish expected of the FEP brand.

Responsibilities

  • Coordinate applicant sourcing, scheduling, and first-round interviews for prospective FEP Agents and staff.
  • Maintain organized candidate files, rosters, and onboarding documentation (NDAs, W-9s, certifications, etc.).
  • Assist with calendar management, email correspondence, and project tracking for the Founder.
  • Prepare and maintain operational spreadsheets, briefings, and internal checklists.
  • Communicate professionally with candidates, vendors, and partners while maintaining strict confidentiality.
  • Support logistics and scheduling for client operations, training days, and team meetings.
  • Uphold The FEP Standard™ in written communication, tone, and presentation at all times.

Qualifications

Required:

  • Exceptional organizational and communication skills.
  • Strong attention to detail and ability to prioritize multiple tasks independently.
  • Professional demeanor with experience handling sensitive or confidential information.
  • Proficiency in Google Workspace, Microsoft Office, and scheduling platforms (Calendly, Zoom, etc.).
  • Reliable remote setup with ability to work part-time and adapt to changing priorities.

Preferred:

  • Prior experience as an executive assistant, recruiting coordinator, or administrative support professional.
  • Background or familiarity with executive protection, security management, or luxury service industries.
  • Bachelor’s degree or relevant coursework in Business, Communications, or related field.
  • Comfort operating within a high-expectation, discretion-driven culture.

Compensation

  • $20–$30 per hour, based on experience.
  • Flexible, remote schedule with opportunity for hybrid work in New York City.
  • Potential to advance into Operations Coordinator or Talent Manager role as the firm grows.
