FFE & OSE Project Manager

The FFE & OSE Project Manager is responsible for the end-to-end management of Furniture, Fixtures & Equipment (FFE) and Owner Supplied Equipment (OSE) across all design and construction projects. This role serves as the primary point of coordination for art programs, signage packages, and all owner-furnished items — ensuring seamless integration from schematic design through project closeout. The ideal candidate brings deep technical knowledge, vendor relationships, and a collaborative spirit to deliver exceptional interior environments on time and within budget.

DUTIES & RESPONSIBILITIES:

FFE & OSE Program Management

  • Manage all FFE and OSE scopes across concurrent design and construction projects from programming through installation and project closeout.

  • Work with a procurement agency to develop and maintain comprehensive FFE/OSE budgets, schedules, and procurement logs aligned with overall project timelines.

  • Coordinate with internal project managers, architects, and interior designers to integrate FFE/OSE into design documents.

  • Issue RFPs, evaluate bids, and manage vendor selection processes in coordination with procurement and legal teams.

  • Track and expedite purchase orders, delivery schedules, and installation milestones to avoid schedule impacts.

  • Conduct site walks during construction to verify field conditions and resolve FFE/OSE conflicts proactively.

  • Oversee punch list, warranty claims, and final documentation for all FFE/OSE items at project closeout.

  • Maintain inventories for any extra items across all projects

Art Program Management

  • Lead the development and execution of art programs in collaboration with design teams and art consultants.

  • Manage artist sourcing, contract negotiation, commission scope, fabrication timelines, and on-site installation coordination.

  • Review art submittals and ensure compliance with design intent, structural requirements, and installation standards.

  • Maintain art inventories and provenance documentation for all commissioned and purchased works.

Signage & Wayfinding

  • Oversee the complete lifecycle of signage and wayfinding packages, including design, permitting, fabrication, and installation.

  • Coordinate with brand, marketing, and operations teams to ensure signage aligns with brand standards and operational needs.

  • Manage signage vendor relationships and quality control processes through delivery and installation.

  • Review shop drawings, material samples, and mock-ups for compliance with design documents and specifications.

Stakeholder Coordination & Communication

  • Serve as the primary point of contact for all FFE/OSE, art, and signage matters across internal and external project stakeholders.

  • Prepare and present regular project status updates, budget forecasts, and risk reports to senior leadership.

  • Collaborate closely with the general contractor, architect of record, and subcontractors to sequence FFE/OSE activities effectively.

  • Partner with operations teams to confirm functional and operational requirements are met prior to project turnover.

REQUIRED SKILLS & EXPERIENCE:

  • Minimum of 5 years of experience in a directly comparable FFE/OSE project management role within design and construction environments.

  • Bachelor’s degree in Interior Design, Architecture, Project Management, or a related field; or equivalent professional experience.

  • Demonstrated experience managing art programs and/or signage and wayfinding packages on large-scale construction projects.

  • Proven track record managing multiple concurrent projects with complex vendor and stakeholder ecosystems.

  • Proficiency in project management platforms (e.g., Procore, Smartsheet, MS Project, or equivalent).

  • Working knowledge of construction documents, specifications, and shop drawing review processes.

  • Familiarity with procurement processes, including RFP preparation, bid analysis, and contract execution.

  • Exceptional organizational skills with the ability to manage competing priorities and meet deadlines.

  • Strong negotiation, communication, and interpersonal skills with the ability to influence across all levels of an organization.

  • Highly attentive to detail and well organized with the ability to manage multiple projects simultaneously.
