Field Claims Documentation Lead (Contents Specialist)

Position Summary

This is a frontline role where advocacy begins—not in the office, but onsite.

The Field Claims Documentation Lead is responsible for owning the contents documentation process from the first site visit through final file delivery. The accuracy, completeness, and quality of the work performed in the field directly determine the strength of every claim we represent.

This role requires someone who takes full accountability for their work, operates with precision under pressure, and understands that every detail matters. From the moment you step onsite, you are establishing the foundation of the claim—what you capture, how you document it, and the standards you uphold will shape the outcome.

Key Responsibilities

Field Leadership & Process Ownership

  • Own the contents documentation process from initial site visit through completion
  • Travel to loss sites and lead or oversee on-site inventories at homes and businesses.
  • Ensure every item is properly identified, categorized, and documented with a high degree of accuracy.
  • Sort, tag, and photograph contents in a consistent, defensible manner.
  • Use mobile tools to capture real-time, reliable data that can withstand scrutiny.
  • Handle personal property with care while maintaining efficiency and professionalism.
  • Partner with adjusters and inventory specialists to align documentation with claim strategy.
  • Maintain strict adherence to safety protocols and company standards in all environments.

Accuracy & Claims Integrity

  • Build and maintain complete, organized, and audit-ready digital files.
  • Ensure all documentation is thorough, consistent, and defensible.
  • Identify and resolve discrepancies early—before they impact the claim.
  • Deliver detailed documentation that strengthens negotiations and supports dispute resolution.
  • Recognize that weak documentation leads to weak advocacy—and take responsibility for preventing it.

Client Interaction

  • Serve as a key point of contact for contents-related matters onsite.
  • Communicate with empathy while maintaining focus on accuracy and process integrity.
  • Guide clients through the documentation process and set clear expectations.
  • Address concerns and resolve issues with urgency and attention to detail.

Team Collaboration & Accountability

  • Work closely with adjusters to ensure documentation supports the overall claim strategy.
  • Coordinate follow-ups to close gaps and maintain file quality.
  • Support training and uphold documentation standards across the team.
  • Take ownership of outcomes, not just tasks.

Qualifications & Requirements

  • Strong organizational and time-management skills with a track record of owning full processes.
  • Exceptional attention to detail and commitment to accuracy.
  • Willingness to travel frequently and work in varied, sometimes challenging environments.
  • Valid driver’s license, good driving record, and reliable vehicle.
  • Proficiency with mobile apps and digital documentation tools.
  • Excellent communication skills with the ability to balance empathy and precision.
  • Experience in insurance claims, property damage, or inventory documentation preferred.
  • Strong problem-solving ability and proactive mindset.
  • Comfortable using smartphones/tablets extensively for documentation.
  • Background in remediation, organizing, or staging is a plus.

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Frequent movement within active job sites.
  • Regular lifting, sorting, and photographing of contents.
  • Ability to travel consistently to multiple locations.
  • Exposure to varying weather conditions and damaged environments.

Pay: $25.00 - $30.00 per hour
