Field Services & Vendor Coordinator

Location: Onsite — Lakewood, NJ

Job Summary

A rapidly growing Managed Service Provider (MSP) is seeking a highly organized, polished Field Services & Vendor Coordinator to manage all external vendors, field technicians, ISP installations, phone system setups, wiring partners, and onsite logistics for facility buildouts and IT deployment projects.

This is not a hands-on technical role — it is a coordination and operations role focused on ensuring all vendors and field resources stay aligned with project timelines, requirements, and installation standards.

You will coordinate HVAC vendors, cabling teams, copier vendors, phone providers, security installers, ISPs, and any vendor impacting IT infrastructure. This role also manages field technician scheduling, scopes of work, travel logistics, client preparation, and internal communication to ensure seamless deployments.

Key Responsibilities

Vendor Coordination

  • Coordinate all facility vendors including HVAC, cabling, phone, copier, access control, security, ISPs, and other trades.

  • Ensure vendor timelines align with project schedules and deployment windows.

  • Gather scopes of work, assist in obtaining quotes, and prepare vendor comparison summaries.

  • Communicate requirements, expectations, updates, and changes to all vendors and partners.

ISP & Wiring Coordination

  • Coordinate ISP installations, upgrades, demarc locations, and wiring needs.

  • Document ISP and cabling details such as circuit numbers, handoff types, install notes, and key contacts.

  • Communicate wiring requirements clearly to vendors and track progress through completion.

Field Technician Coordination

  • Draft scopes of work for onsite tasks and IT deployments.

  • Ensure field technicians have complete instructions, tools, schedules, and clear expectations.

  • Train and brief onsite techs on process standards and workflows.

  • Schedule local onsite visits and manage travel arrangements for out-of-area deployments.

Travel & Logistics

  • Coordinate travel (flights, hotels, transportation) with internal or external travel teams.

  • Prepare travel packets, deployment instructions, and readiness checklists.

  • Track expenses, receipts, reimbursements, and approval workflows.

Client & Internal Communication

  • Prepare clients for onsite visits, installation timelines, and expectations.

  • Provide clear updates before and after deployments.

  • Work closely with internal project managers, engineers, and leadership to keep all stakeholders aligned.

  • Communicate vendor progress, risks, and readiness throughout each project.

Documentation & Project Support

  • Maintain accurate vendor documentation: contacts, quotes, wiring notes, timelines, install records, renewal details.

  • Update project management tools, templates, and SOPs.

  • Support project teams with scheduling, readiness checks, status tracking, and follow-up.

Requirements

Experience

  • Experience coordinating vendors, field teams, contractors, or service partners.

  • Experience managing schedules, timelines, logistics, and field execution.

  • Experience creating scopes of work or job instructions for field staff.

  • Experience communicating with clients to prepare them for onsite visits or installations.

Technical Understanding

(Coordinator-level understanding — not engineering-level)

  • Familiarity with IT/networking basics: Wi-Fi, switches, cabling, demarc points, ISP handoffs.

  • Understanding of vendor workflows including ISP installs, wiring requirements, access control, copier setups, etc.

  • Ability to read scopes of work, vendor diagrams, and installation details.

Operational & Coordination Skills

  • Strong scheduling, planning, and follow-up abilities.

  • Ability to coordinate multiple vendors toward a unified project timeline.

  • Experience coordinating travel and field technician readiness.

  • Ability to track invoices, receipts, expenses, and documentation.

  • Willingness to occasionally work after-hours for network cutovers, facility access windows, or vendor needs.

Communication Skills

  • Professional, polished communication — both client-facing and internal.

  • Ability to prepare clients for onsite work and set clear expectations.

  • Confident communicator with vendor leadership and project stakeholders.

  • Strong written clarity for documentation, instructions, and updates.

Documentation & Systems

  • Strong documentation habits (vendor notes, wiring details, timelines, scopes).

  • Experience with project management tools like Asana, Monday.com, ClickUp, or Trello.

  • Ability to maintain accurate vendor, ISP, phone system, and wiring documentation.

  • High attention to detail and accuracy.
