Field Title Clerk I

General Position Summary & Responsibilities

The Field Title Clerk I is responsible for delivering efficient, high-quality customer service throughout the vehicle purchasing process. This position is responsible for the accurate and compliant execution of vehicle purchases, including the verification of documentation and ensuring that all required forms are completed and signed in accordance with company standards. The Field Title Clerk I may also be responsible for facilitating vehicle sales and ownership transfers as needed and must approach all customer interactions with a consistently professional, courteous, and detail-oriented demeanor.

Essential Functions

  • Work safely at all times, wear PPE correctly and consistently and promote the Pick-n-Pull Safety Culture. Adhere to all safety requirements, maintain a safety-minded approach, and collaborate with your safety buddy.
  • Verify that all ownership documents accurately correspond to the vehicle identification numbers (VINs) on physically received vehicles and confirm compliance with all applicable local, state, and federal laws.
  • Schedule appointments with customers and contracted tow vendors for vehicle pickups in a timely and organized manner.
  • Process the purchase of all vehicles delivered to the store in full accordance with local, state, and federal laws and company policy.
  • Receive and record all vehicles delivered daily within the company database using the receiving handheld device and/or manual entry as required.
  • Issue payments for vehicles and tow services while accurately maintaining and managing the daily check summary.
  • Organize, maintain, and retain copies and files for routing sheets, vehicle transfers, sales, and purchases in accordance with record retention requirements.
  • Monitor and respond to all incoming and outgoing telephone calls and faxes in a prompt and professional manner.
  • Sort, process, and ship documents for processing as required.
  • Produce all required daily, weekly, and monthly reports in an accurate and timely manner.
  • Complete all necessary due diligence associated with the vehicle purchasing weekly exception list.
  • Perform additional duties as assigned.

Job Conditions

The Field Title Clerk I works both indoor and outdoor environments within an auto salvage yard setting, with exposure to varying weather conditions, dust, automotive fluids, and noise from machinery and customer activity. Adheres to safety protocols and the proper use of personal protective equipment (PPE).

Qualifications

  • High school diploma, equivalent, or an equivalent combination of education and relevant experience preferred.
  • Proficiency in general computer skills, including data entry and email communication.
  • Ability to work effectively in a variety of outdoor weather conditions, including rain, snow, extreme heat, and cold, for the duration of a full shift.
  • Ability to read, understand, and follow written and verbal instructions in English.
  • Ability to work flexible shifts and schedules, including overtime as needed.

Ideal Qualifications

  • Basic automotive knowledge or related experience.
  • Detail-oriented with excellent organizational skills and the ability to prioritize multiple competing tasks effectively.
  • Strong verbal and written communication skills with the ability to interact with customers and vendors in a professional and efficient manner.
  • Bilingual proficiency in Spanish.

Physical Requirements and Work Environment

This position requires the ability to stand, walk, bend, stretch, and lift regularly throughout the assigned work shift to perform customer care and environmental and safety functions. Sufficient vision to safely perform all job functions as described is required.
