Position Summary:
The Filevine Administrator will manage and optimize the firm’s client relationship management system, oversee technology tools, and serve as the primary liaison with external tech providers. This role will also lead the technical onboarding process for new hires and play a key role in maintaining accurate data, streamlined workflows, and reliable systems that support attorneys and staff in their daily work.
Key Responsibilities:
- Administer, configure, and maintain the firm’s CRM, Filevine, and related systems.
- Create, manage, and analyze reports and dashboards for leadership and practice groups.
- Act as the primary point of contact with technology providers and software vendors, ensuring timely resolution of issues.
- Coordinate new hire technology set-up, including account creation, permissions, and software access.
- Customize workflows, fields, and system features to meet evolving firm needs.
- Train staff on CRM/system usage and best practices.
- Oversee data integrity and perform regular audits and cleanup.
- Manage system updates, integrations, and testing to ensure compatibility and performance.
Qualifications:
- Bachelor’s degree in Business, IT, or related field preferred.
- 2+ years of experience in CRM/system administration, preferably in a law firm or professional services setting.
- Proficiency with legal CRM or practice management software (e.g., Filevine, Law Ruler, Clio, Salesforce).
- Strong data management and reporting skills.
- Excellent communication and troubleshooting abilities.
- Organized, detail-oriented, and able to handle multiple priorities in a fast-paced environment.
Preferred Skills:
- Bilingual English/Spanish
- Familiarity with law firm workflows and data compliance requirements.
- Experience with user training and documentation creation.
- Ability to streamline processes and improve system adoption.
