Finance Administrative Assistant

Job Summary:

The Administrative Assistant for the Finance Department plays a key support role by assisting all finance team members with administrative and operational tasks. The primary responsibility is to create and configure client agreements in the ConnectWise platform based on the service contracts delivered by the Sales Department. This role requires a high level of accuracy, attention to detail, and strong communication skills to ensure that service terms, work roles, contract durations, and hourly rates are correctly entered and maintained. The ideal candidate is organized, tech-savvy, and capable of interacting professionally with both internal staff and clients.

Responsibilities:

  • Manage incoming calls and monitor departmental emails for timely responses.
  • Monitor the department service board to ensure all tasks are addressed.
  • Receive incoming merchandise and deliver products to the Hardware department or directly to clients.
  • Prepare check deposits and coordinate bank runs with the Hardware team.
  • Handle logistics and errands, including monitoring hardware equipment and visiting the post office.
  • Manage office supply inventory and ensure the office remains fully stocked.
  • Record check deposits and financial entries in QuickBooks.
  • Support the Finance team with administrative tasks such as document preparation, data entry, and internal communications.
  • Communicate professionally with clients and internal departments to clarify or confirm agreement details.
  • Maintain organized digital records of agreements and related documentation.
  • Assist with reporting, and other departmental needs as required.
  • Be available to perform any additional tasks required by the company’s operations.

Required Skills/Abilities:

  • Critical Thinking
  • Strong attention to detail and accuracy in data entry and document handling.
  • Excellent written and verbal communication skills, with professional etiquette.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (especially Excel and Word).
  • Experience with ConnectWise or similar CRM/ERP platforms is a plus.
  • Strong organizational and time management skills.
  • Bilingual (Spanish and English) preferred.

Education and Experience:

  • Associate’s degree in Business Administration, Office Management, or a related field.
  • Minimum of 2 years of administrative experience, preferably in a finance or operations setting.
  • Experience working with service contracts or client agreements is a plus.

Job Type: Full-time

Pay: From $13.00 per hour

Expected hours: No less than 40 per week
